About the Role
As an Assistant Facilities Manager within JLL Work Dynamics in Japan, you will provide Facility Management and Office Services for an American multinational technology company. You will act as the Client's single point of contact in the region for strategy, implementation, and escalation for capital works, manage the site budget, and guide the IFM team to ensure operations are delivered on time and within budget. This position requires advocacy for Health and Safety best practice compliance and support for all Emergency related activities, contributing to JLL's mission of helping clients achieve their business ambitions through excellent facilities management services.
Responsibilities
- Establish and foster strong relationships with key stakeholders
- Act as Client's single point of contact for strategy implementation and escalation
- Spearhead Client's process for business approval in the region
- Communicate and drive compliance in data capture for reporting systems
- Manage site budget, spending and variance
- Work closely with Finance Manager to maintain data accuracy in finance area
- Guide IFM team and ensure they deliver operation on time and in budget with required standards for site operation and data quality
- Promote continuous quality monitoring and drive improvement on operation and documentation
- Ensure best practices compliance
- Support all Emergency related activities including training operations, support staff and contractors
- Monitor activities of training operations, support staff and contractors
- Report necessary updates on evacuation drill related activities to regional team
- Work with site FMs to conduct planned annual drills
- Collaborate with Transaction team to manage real estate transactions
- Manage acquisition of leasehold in buildings
- Develop strategic portfolio planning
Requirements
- At least 5 years of working experience in Facility Management
- At least 3 years of relevant working experience in EHS
- Proficient in MS Applications such as Excel, Word and PowerPoint
- Good IT skills for facility management systems
- Ability to work well with key stakeholders and other departments/functions
- Possess requisite technical skills
- Strong communication skills both orally and in writing
- Ability to establish and maintain good relationships with colleagues
- Team player capabilities
- Ability to motivate and engage with colleagues
- Ability to listen actively and provide positive influence
- Experience managing teams with responsibility for safety, engagement and development
