About the Role
Maintains positive vendor relations and provides administrative support to ensure timely and cost-effective purchasing of goods, services, or equipment. Supports employees with organizational and communication tasks, handling confidential and time-sensitive material.
Responsibilities
- Order office and laboratory supplies and process purchase orders in accordance with company policies and procedures.
- Manage office supplies inventory.
- Communicate with vendors, clarifying details, negotiating terms and price, identifying quality, and establishing deadlines.
- Track orders to ensure timely delivery of goods and services.
- Prepare reports on purchases, including cost analyses, and update internal databases.
- Maintain positive vendor relations and communicate with suppliers.
- Identify pricing trends and evaluate vendor offers.
- Assist with monitoring stock levels and identifying purchasing needs.
- Oversee inventory control.
- Assist with other Front Office areas as needed.
- Provide input for organization-wide and department policies and procedures.
- Answer and direct phone calls.
- Deposit checks when requested.
- Greet visitors and provide general support.
- Organize and schedule appointments and meetings.
- Perform administrative duties such as filing, typing, copying, binding, and scanning.
- Maintain and stock front and shared office spaces.
- Maintain contact lists.
- Produce and distribute correspondence.
- Ensure compliance with company policies and regulatory requirements.
- Reply to inquiries politely and professionally.
- Assist with and/or generate reports.
- Manage sensitive information confidentially.
- Correspond with clients through phone, fax, mail, and e-mail.
- Maintain electronic and paper filing systems.
- Conduct data entry.
- Research and create presentations when requested.
- Distribute company mail.
- Book travel arrangements when requested.
- Maintain professional and technical knowledge.
- Perform additional duties as assigned.
- Adhere to standard timelines and escalate actions appropriately.
- Keep manager informed of progress and communicate effectively with colleagues.
Requirements
- HS diploma or equivalent.
- 2 years of proven procurement and/or administrative experience preferred; education in supply chain management, business administration, or related field can be substituted for experience.
- Ability to handle multiple tasks and projects under deadline pressure and independently.
- Ability to adapt quickly to change.
- Strong organizational and time management skills.
- Excellent communication and negotiation skills.
- High attention to detail and data entry accuracy.
- Proficient with Microsoft Office Suite.
- One year experience with QuickBooks preferred.
- Must be able to lift up to 25 pounds.
