About the Role
The Commercial Property Administrator/Leasing Agent works under the direction of the Sr. Property Manager and is responsible for meeting all contractual obligations and deliverables, as well as achieving client goals and objectives through effective financial and operational management. This position requires strong knowledge of commercial properties and condominium experience.
Responsibilities
- Rent collection & tenant account reconciliations
- Purchase order and work order processing
- Lease Administration - Preparation of documents, including Renewals, Offers, and Leases
- Prepare Lease Abstracts and Maintenance
- Input tenant information, update tenant information and update contracts, lease terms, property info, etc.
- Tenant Notices, including Demand Notices, per PM instructions.
- Property File Maintenance, filing, creating files, and updating files or archiving files
- Utility correspondence, update and arrange bill redirections
- List, create, update, and consolidate PM contact information and Tenant lists.
- Ease Transitions, create files, and send introductions/escalation notices to tenants.
- Assisting PM with projects or general assistance when the PM is on the road.
- Tenant Insurance, send out notices to renew, update and oversee a master list/report of insurance expires.
- Year-end packages and CAM billings, assist PM in preparing and distributing statement of account and send package to Tenants.
- Rental Advise notices, send out notices when new budgets are finalized.
- CAM disputes and reconciliations, assist PM in compiling information required to respond to the Tenant and forward it to the tenant.
- Property Budgets, assist PM in compiling information required
- Other assignments within the scope, spirit, and purpose of the job as reasonably requested from time to time by management.
Requirements
- At least two (2) years of experience in Commercial Property Management
- Knowledge of Commercial Leases and Commercial Property Management.
- Experience with YARDI would be an asset.
- Excel at planning and organizing.
- Ability to meet deadlines proficiently.
- Proven ability to identify, evaluate and develop new ideas with supportable results.
- Solid Analytical Strengths.
- Ability to apply logic and reasoning to effectively manage projects, analyze complex financial, legal, and contractual problems, and to provide solutions or recommendations.
- Superior oral and written communication skills.
- Strong computer skills – MS Word, Excel, Access, and Outlook.
- Reliable Vehicle Required.
- Strong knowledge & experience in preparation & understanding of commercial property budgets, financial analysis.
- Strong administrative experience in Commercial Property Management.
- Candidates must live and be authorized to work in Canada.
