Responsibilities
- Assist in creating JLL purchase orders and vendor invoice submissions for timely and accurate processing.
- Provide raw data for MI templates to support expense tracking.
- Submit GR amounts to the finance team promptly.
- Assist in the preparation of the annual budget.
- Coordinate with the Asset Team and IT to confirm equipment and furniture placement.
- Register assets in the facility management system and apply asset tags.
- Maintain accurate asset location and status records.
- Support annual asset audits and submit reports as requested by the Asset Team.
- Collaborate with the local legal team and regional procurement team for new vendor onboarding.
- Review and negotiate existing vendor contracts to optimize prices and service levels.
- Monitor office space utilization and maintain efficient space allocation.
- Conduct annual space allocation reviews to confirm room ownership.
- Coordinate with global teams to verify data accuracy.
- Perform administrative tasks including data creation, aggregation, and analysis.
- Support other JLL members to achieve site team operational goals and meet service level agreements.
- Complete all mandatory safety trainings within the timeline.
- Conduct site inspections and work with the EHS coordinator to maintain site safety.
- Manage the Contract Workers Authorization process with EHS leads and managers.
- Take protective actions for site safety in response to near miss or hazard cases.
- Manage Helpdesk services, including for remote sites.
- Support the security team with badge access control.
- Coordinate and assist employees with events, including meeting room booking and setup.
- Manage daily health and safety issues, including maintaining records for fire and safety teams, fire drills, safety equipment, and training.
- Provide cover for the Building Operations Coordinator / Facilities Manager when appropriate.
- Assist in the implementation of industry best practice operations.
- Conduct site inspections and assessments to ensure building procedures and performance measures are maintained.
- Track service tickets to completion.
- Escalate issues to senior management when necessary.
- Coordinate and attend maintenance work, construction, and inspection activities.
Requirements
- Experienced in providing outstanding services in support of Office Management.
- Proactively lead, monitor, and manage onsite Client account activities.
- Effective in managing direct and indirect reports.
- Guide individuals to support Client requirements.
- Possess the requisite technical skills working on Microsoft Office Suite.
- Establish and maintain good relationships with colleagues.
- Communicate effectively orally and in writing in the local language and Business Level English.
