About the Role
Shrub Oak International School (SOIS) is a therapeutic day and residential school for autistic children, adolescents, and young adults with complex co-occurring conditions. Responsibilities
- Manage admissions, enrollment, and registrar functions, including intake coordination and student records lifecycle management.
- Serve as the primary point of contact for school districts, care managers, OPWDD, and internal communications regarding contracts and assessments.
- Manage Connor’s Case documents and subpoenas from initiation to completion.
- Oversee QA and compliance tracking to ensure audit readiness.
- Generate student demographic and enrollment reports, and update census data.
- Manage discharge and program transition paperwork completion and submission, ensuring timelines are met and stakeholders are informed.
- Track, report, and ensure compliance for strategic dashboards, reporting, and metrics.
- Plan and coordinate internal leadership meetings across various subjects.
- Manage school accreditations, including filing, tracking, compliance, and documentation.
- Oversee incident report review and routing, policy/procedure version control, and site survey preparation and execution.
- Assist the Executive Director with tuition and contract tracking within a complex multi-tiered contract model.
- Partner with HR to cross-reference staff credentials for program compliance.
- Manage budgeting, purchasing, and department orders, acting as a gatekeeper for the Executive Director's signature on needs, POs, and special requests, verifying budgetary obligations and approvals.
Requirements
- Associate degree in business administration or related field required; Bachelor's or Master's preferred.
- 3+ years of experience as an Executive Assistant in a fast-paced company or industry required; 5+ years preferred.
- Demonstrated strong organizational, administrative, project management, and time management skills required.
- Demonstrated ability to stay organized, manage multiple tasks with interruptions, set priorities, meet deadlines, and maintain attention to detail required.
- IT and systems project management, including stakeholder management, launch, and change management experience preferred.
- Highly proficient with Microsoft Office Suite and technology systems required; advanced abilities in Excel, including massive data management and reporting, preferred.
- Experience supporting school administration and Connors Cases preferred.
- Experience with students on the autism spectrum or with developmental disabilities preferred.
- Ability to ambulate around the campus, including hills, stairs, grass, and gravel.
