About the Role
This position provides administrative and service support to OMA Insurance and members, playing a key role in ensuring accurate member profiles and efficient handling of inquiries and requests.
Responsibilities
- Set up member records and ensure profiles are updated with accurate information by confirming change requests with members and business partners.
- Create, update, and assign cases and leads to appropriate OMA Insurance teams for handling.
- Monitor email inboxes and queues for inquiries, referrals, and sales or consultation requests, ensuring proper handling and distribution.
- Respond to member inquiries and requests, providing support as needed.
- Provide and follow up with third-party insured members on notification reminders to assist in coverage retention.
- Inform the sales team of any third-party changes affecting in-force coverage.
- Check and handle inbound and outbound mail, triaging correspondence to applicable internal and external parties.
- Manage and distribute vendor commission statements to the applicable teams.
- Maintain, track, and order office supplies, and provide additional administrative support as needed.
- Adhere to agreed-upon OMA Service Level Agreements and ensure information accuracy based on member service requests using proper activity settings.
- Act as a brand ambassador for the OMA, displaying professionalism, courtesy, patience, and understanding when dealing with members.
Requirements
- Community College Diploma in Business Administration, Office Administration, or an equivalent combination of education and experience.
- Two to three years of administrative and customer service experience, demonstrating proficiency in office administration practices, systems, and customer interactions.
- Knowledge and understanding of the insurance industry.
- Working knowledge of Salesforce CRM.
- Demonstrated ability to perform customer service and administrative duties within an insurance environment.
- Strong organization, communication, time management, and interpersonal skills.
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, and Teams).
- Ability to work independently while also contributing effectively as part of a team.
- Ability to maintain confidentiality and handle sensitive customer information with discretion.
- Background checks and reference checks are a condition of employment.
