About the Role
As a Receptionist, you will be the first point of contact for clients, greeting them and providing guidance. You will also perform clerical tasks to support daily operations, including answering phones, distributing mail, and scheduling meetings.
Responsibilities
- Act as the first point of contact by answering the phone and operating a switchboard, receiving and transferring calls, and recording messages.
- Handle queries from the public and customers.
- Monitor visitor access and maintain security awareness.
- Provide general administrative and clerical support.
- Receive and greet visitors, respond to inquiries, and escort them to meetings.
- Receive deliveries and arrange for their distribution.
- Type documents including letters, minutes, charts, and notices.
- Maintain a tidy reception area and up-to-date notice boards.
- Book transport as required.
- Handle and distribute post to relevant departments and individuals.
- Set up meeting facilities.
- Arrange catering for meetings and daily office use.
- Undertake pre-employment checks (references, DBS, etc.) and support the onboarding process.
- Maintain employee file records by updating changes in employee details or status.
- Arrange meetings, process confidential reports and documents, file electronic and hard copies, track deadlines, and take action as required.
- Perform additional administration duties as requested by different departments.
Requirements
- At least one year of switchboard/receptionist duties experience.
- Ability to remain calm, helpful, and courteous while providing professional services.
- Good Time Management skills.
- Excellent communication skills with the ability to communicate at all levels.
- Pleasant telephone manner.
- An organized approach and good attention to detail.
- Good IT skills including Excel, Word, Outlook, and PowerPoint.
