About the Role

The Assistant Secretarial Services Manager (ASSM) is responsible for the day-to-day management of secretarial staff, ensuring the Secretarial Model provides exceptional service to partners and fee earners. This role aligns support needs with firm strategy, fosters consistency across the London office, and provides high-level organizational support to the Practice Group Leader.

Responsibilities

  • Manage secretarial staff on a day-to-day basis, including office and remote workers.
  • Support team mentoring and identify career development opportunities.
  • Manage daily workflow requirements and ensure sufficient resource allocation.
  • Coordinate secretarial cover for absences and manage annual leave via Workday.
  • Oversee the new joiner process, including inductions and workstation setup.
  • Conduct annual, interim, and probationary performance reviews.
  • Review and propose secretarial/fee earner allocations and headcount requirements.
  • Monitor working hours to ensure adequate resource coverage.
  • Maintain team floor plans in collaboration with the Workplace Manager.
  • Perform quality checks on work to ensure adherence to firm standards.
  • Lead change initiatives and adopt new technologies, including AI-driven solutions.
  • Drive continuous improvement by identifying efficiencies and automating manual processes.
  • Assist HR and management with performance issues, disciplinary meetings, and return-to-work interviews.
  • Provide operational support to the Practice Group Leader and Manager.

Requirements

  • Minimum 3 years of proven supervisory and management experience in a similar role.
  • Experience within a professional services environment, ideally a law firm.
  • Demonstrated ability to lead a team, command respect, and lead by example.
  • Relevant qualifications such as excellence programs, diplomas, or NVQs.
  • Ability to maintain confidentiality and discretion.
  • Strong communication skills, both written and verbal.
  • Resilience under pressure and ability to remain calm in a crisis.
  • Flexible approach to working.
