About the Role
The purpose of this position is to assist all Urology Austin patients with utmost care and accuracy when entering demographic and insurance information, and populating the physician’s schedule. This role is crucial for ensuring smooth patient treatment processes, from initial visits to surgical scheduling.
Responsibilities
- Assist in scheduling all new and returning patients, ensuring accuracy of appointment times, dates, and patient demographic/insurance information.
- Schedule procedures and surgeries accurately and timely as directed by providers, including post-operative/follow-up appointments.
- Communicate with patients to explain surgical preparations and instructions.
- Consult with providers to obtain clearance that treatment is medically necessary before initiating requests to insurance plans.
- Accurately verify insurance coverage for all surgery/procedure patients.
- Obtain necessary authorizations, pre-determinations, and referrals for prompt payment.
- Schedule peer-to-peer calls when necessary.
- Provide surgery information/instructions to patients, including medication management, labs, and pre/post-operative treatment plans.
- Communicate patient benefits and estimated financial responsibility to patients.
- Collect estimated patient financial responsibility prior to scheduled surgery/procedure.
- Coordinate with facilities to ensure operating/procedure room time availability and arrange necessary anesthesia coverage.
- Review surgery schedules two days prior to the scheduled day to check for errors and ensure updates are completed.
- Communicate with physicians and staff regarding patient concerns related to scheduling.
- Consult with site manager about system problems.
- Use customer service principles and techniques to interact with patients calmly and pleasantly.
- Provide coverage to other areas as needed.
- Perform other duties as assigned.
Requirements
- Minimum one year of physician front office experience, preferably in a surgical practice.
- Basic knowledge of insurance plans, including Medicare and Medicaid.
- Ability to enter patient demographic and insurance information quickly and accurately.
- Excellent customer service and communication skills.
- Excellent organizational skills to manage multiple physician schedules and coordinate with healthcare facilities.
- Proficiency in computer software, including Word, Excel, and Outlook.
- Knowledge of medical practice protocols related to scheduling appointments.
- Knowledge of CPT and ICD-10 codes.
- Knowledge of insurance benefits.
- Knowledge of computerized scheduling systems.
- Knowledge of customer service principles and techniques.
- Skill in communicating effectively with physicians about scheduling preferences.
- Skill in producing reports about appointment patterns as needed.
- Ability to multitask effectively, handling phone calls, in-office patients, and staff pleasantly.
- Ability to communicate calmly and clearly with patients about surgery schedules in all circumstances.
- Ability to analyze situations and respond appropriately.
- Employee is occasionally required to walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; balance; stoop; talk or hear.
- Employee must occasionally lift/or move up to 20 pounds.
- Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
