About the Role

LEOP seeks an administrative assistant to support the work of our department. The incumbent will provide administrative support to the Assistant Dean to ensure smooth operations of the office.

Responsibilities

  • Provide critical administrative support to the department staff as needed, including supporting core activities, coordinating meetings and events, managing staff calendars/schedules, supporting committee work, and performing clerical tasks
  • Answer and screen incoming calls and serve as the first point of contact for visitors to the office
  • Respond to general inquiries regarding policies, procedures, and regulations associated with the College and LEOP
  • Schedule, coordinate, and assist with LEOP orientation, the LEOP 3L Celebration, academic programming, and other events (including occasional night and weekend events), and serve as point of contact for other departments such as facilities and IT
  • Manage office systems and procedures
  • Maintain and organize office supplies
  • Provide support for budget-related tasks and projects
  • Assist with the onboarding of student workers
  • Serve as liaison to other departments including Enrollment Management, the Registrar’s Office, and Student Services
  • Coordinate logistics for UC Law SF’s Diversity Week, including securing venue reservations, catering, equipment, and technical support
  • Record minutes for monthly DEIWG meetings
  • Prepare and distribute DEIWG meeting agenda
  • Send regular communications to DEIWG Committee regarding updates on DEI initiatives and action items

Requirements

  • High school and some administrative work experience required
  • Demonstrated organization skills to manage multiple projects and deadlines
  • Ability to take initiative, prioritize with minimal supervision and work independently, as well as being able to contribute as a member of a team
  • Strong work ethic and attention to detail

Skills

  • Strong interpersonal communication skills
  • Tech-savvy with working knowledge and experience with Microsoft Office (Word, Excel, and PowerPoint)
