About the Role
Provide comprehensive secretarial and patient coordination support within a dynamic healthcare environment. This role is crucial for ensuring efficient patient flow, accurate record management, and professional communication with healthcare providers and patients.
Responsibilities
- Provide full secretarial support, including letter production, reports, and clinical documentation, maintaining strict confidentiality.
- Manage correspondence and telephone contacts professionally and efficiently.
- Create and schedule appointments accurately within the electronic medical record system.
- Receive new patient referrals and arrange appointments promptly, coordinating with departments.
- Advise patients regarding co-payments, referral authorisations, and pre-service deposits.
- Register new patients and update existing patient records with accuracy.
- Facilitate patient visits by responding to needs and coordinating care.
- Arrange investigations and obtain test results, escalating abnormal or urgent results promptly.
- Interact professionally with healthcare professionals, referring providers, allied health staff, and patients.
- Maintain effective working relationships with internal and external personnel.
- Coordinate outside medical records, imaging, and lab results.
- Maintain and file accurate patient records and prepare clinic notes.
- Send follow-up documentation to referring agencies in a timely manner.
- Interpret and apply Mayo policies regarding scheduling criteria and medical need.
- Navigate multiple systems simultaneously for inquiries and scheduling workflows.
Requirements
