About the Role
The Human Resources Coordinator provides essential administrative and operational support to the HR Department and museum staff, managing the full employee lifecycle and coordinating with benefits carriers and payroll. The ideal candidate is organized, flexible, and customer-service oriented.
Responsibilities
- Processes all benefit enrollments, terminations, and changes via carrier portals; updates the HRIS and coordinates updates with Payroll.
- Reconciles monthly benefit billings and manages the COBRA continuation process.
- Assists with Leave of Absence (LOA) administration, including tracking and employee communication for FMLA, Workers’ Compensation, and unpaid sick leave.
- Supports the administration of ADP Workforce Now, running regular audit reports to ensure data integrity.
- Inputs and tracks all personnel changes and ensures data is verified before routing to Payroll and notifying employees.
- Prepares separation packets for staff and processes terminations in ADP, benefits portals, and payroll.
- Generates biweekly and monthly union reports and other compliance or internal reports.
- Supports the museum-wide recruitment process by posting open positions, tracking requisitions, and assisting with hiring tasks.
- Coordinates with IT and Facilities to prepare for new hires, including creating ID/access badges and ordering business cards.
- Manages the HR department’s central inbox, responding to and/or routing inquiries.
- Manages personnel files, keeps files up to date, and ensures compliance.
- Coordinates the production of the monthly HR newsletter and maintains updated organizational charts.
- Assists with the planning and execution of employee events, wellness programming, and training.
- Conducts monthly departmental credit card reconciliation.
- Performs other related duties as assigned.
Requirements
- Bachelor’s degree from an accredited college or university.
- Minimum of two (2) years of human resources experience.
- Experience within a non-profit or cultural institution is highly preferred.
- Experience in a unionized environment is desirable.
- Ability to perform clerical duties with a high degree of accuracy.
- Ability to multitask and thrive in a shifting, deadline-driven environment.
- Requires prolonged periods of sitting at a desk and working on a computer.
