About the Role

The Program Manager in the Department of Physician Assistant Studies provides administrative, operational, and project support for an HRSA-funded grant. This role is responsible for coordinating clinical site development, supporting grant reporting and compliance, managing project logistics, tracking budgets, organizing events, and maintaining stakeholder relationships. This position is contingent on continued external funding.

Responsibilities

  • Manage professional relationships with primary care medical facilities and providers for student clinical rotations.
  • Support onboarding and communication with clinical preceptors, students, faculty, and community partners.
  • Cultivate relationships with PA alumni to increase preceptor partnerships.
  • Maintain accurate documentation of all activities, tasks, contacts, and account management.
  • Maintain grant files, databases, and tracking systems.
  • Participate in program assessment and discussions related to accreditation standards.
  • Obtain student feedback to enhance the clinical site experience.
  • Serve as a liaison with stakeholders.
  • Prepare comprehensive action plans for grant-related meetings, workshops, and trainings.
  • Support the HRSA grant director with drafting and submission of required grant reports.
  • Develop and manage projects and events from conception to completion.
  • Coordinate calendars, schedules, and logistics for grant-related meetings, trainings, and site visits.
  • Prepare meeting agendas, minutes, and follow-up documentation.
  • Manage budget and process invoices, stipend requests, reimbursements, and payment documentation.
  • Monitor timelines and deliverables to ensure compliance with grant requirements.
  • Collaborate with campus resources and external organizations.
  • Perform other responsibilities as assigned by the Project Director and Clinical Coordinator.
  • Demonstrate and role-model Le Moyne's mission-based competencies in all interactions.
  • Strengthen digital literacy skills through education and application of digital technologies.

Requirements

  • Bachelor's degree from an accredited college or university.
  • 3-5 years of experience in grant administration, healthcare administration, higher education, project coordination, program management, customer service, or related fields.
  • Ability to work under a grant-directed position.
  • Excellent analytical and problem-solving abilities.
  • Strong communication and interpersonal skills.
  • Ability to work well in a team environment.
  • Knowledge and understanding of healthcare systems.
  • High level of organization with the ability to implement systems and follow-up processes.
  • Ability to handle multiple assignments and meet deadlines.
  • Ability to use independent judgment and produce quality work.
  • Strong writing and PC skills (Microsoft Office and Google Suite).
  • Self-directed and able to work independently while maintaining consistent communication.
  • Requires regular in-person attendance for meetings, events, and other departmental or grant-related activities.
  • Experience with payment processes and budgets preferred.
