Responsibilities

  • Coordinate and schedule all IVF/FET cycles
  • Schedule patients for all appointments necessary for IVF/EF checklist completion
  • Ensure patient cycle medication pre-certification is initiated
  • Confirm precertification completion for medications
  • Maintain communication with finance regarding patient financial clearance for IVF cycles
  • Schedule and review IVF checklist with patient to determine completion
  • Adhere to lab review SOP
  • Advise RN when chart is ready for final review
  • Distribute all necessary consents and adhere to policies for witnessing and processing
  • Counsel patients on consent completion timelines
  • Arrange IVF meeting with physicians and IVF nurse for case review
  • Enter data in EMR chart
  • Record special cycle requirements and diagnosis in EMR
  • Coordinate with urology team and embryology for TESE cycles
  • Transfer relevant data regarding male patients to EMR stimulation chart
  • Attend TESE team meetings
  • Collaborate with nursing staff to review upcoming IVF cycles and chart completion
  • Assist patients with understanding the donor sperm ordering process
  • Provide emotional support to patients
  • Create and maintain IVF database (IVF Scheduler)
  • Collaborate with Research Data Coordinator on SART data and statistics
  • Function as back-up for Research Data Coordinator
  • Coordinate all aspects of PGT cycles
  • Assist with the coordination of Egg Freezing Patients
  • Participate in the orientation of new IVF coordinators
  • Collaborate with Transfer In team to facilitate gamete transfer

Requirements

  • Bachelor's degree in biology, Human Biology, Chemistry, Anatomy & Physiology, Biochemistry or other related sciences is required
  • 1-2 years of related experience preferred
  • Must be organized, a critical thinker, detail-oriented, self-motivated, adaptable, and able to multitask
  • Must be compassionate and have an interest in reproductive medicine/women’s health
  • Must be able to work independently as well as in a team environment
  • Ability to learn new terminology and systems is required
  • Travel to various satellites may be required

Skills

  • Proficiency in MS Word, Excel, Outlook, and medical database software
  • Excellent communications and interpersonal skills
