About the Role

You are the central point of contact for office organization, ensuring smooth daily operations. You will manage incoming and outgoing mail, emails, and phone calls, order supplies, coordinate service providers, and support administrative tasks like travel management and appointment scheduling. Your goal is to maintain a well-organized, functional, and pleasant office environment.

Responsibilities

  • Manage incoming and outgoing mail, emails, and phone calls.
  • Order and manage office supplies and consumables.
  • Coordinate external service providers, tradespeople, and suppliers.
  • Support organizational and administrative tasks, including travel management and appointment scheduling.
  • Maintain a well-organized, functional, and pleasant office environment.
  • Assist with preliminary accounting.
  • Participate in smaller projects and internal processes, such as sustainability or digitalization initiatives.

Requirements

  • Be an organizational talent with a structured, solution-oriented approach.
  • Possess several years of experience in Office Management or a comparable role.
  • Think in terms of processes, plan ahead, and optimize workflows while maintaining attention to detail.
  • Prioritize tasks effectively based on urgency and importance.
  • Be comfortable working with numbers; experience in preliminary accounting is advantageous.
  • Exhibit a friendly and professional demeanor with strong team and communication skills.
  • Demonstrate initiative, responsibility, and a hands-on mentality.
  • Have very good German language skills (written and spoken, C2 level).
  • Proficient in Microsoft 365 and standard office software.
  • Ideally, have initial experience with digital tools or in sustainable office practices.
