About the Role

The Health Center Manager (HCM) oversees the daily operation of a health center for Planned Parenthood of Greater Texas (PPGT), establishing effective supervisory relationships, ensuring high-quality medical services, and adhering to administrative policies. The role involves leading the team to meet productivity and patient experience expectations while maintaining compliance standards and supporting the organization's strategic plan and inclusion initiatives.

Responsibilities

  • Supervises health center staff and manages day-to-day operations for assigned health center providing reproductive healthcare services.
  • Participates in a team approach to patient care, demonstrating respect, knowledge, responsibility, compassion, sensitivity, cultural competence, and timely access to care.
  • Effectively leads staff by communicating affiliate directives, priorities, and strategic changes.
  • Leads health center team to meet productivity and revenue goals by ensuring appointment availability.
  • Leads, motivates, coaches, and performs on-the-job training for health center team members.
  • Coaches and develops team members in change processes and building service-oriented teams.
  • Plans and conducts regular staff meetings to facilitate team building, communication, problem-solving, and staff input.
  • Provides leadership in health center operations, including staff selection, hiring, training, and evaluation.
  • Develops an effective leadership style, provides timely feedback, and conducts performance evaluation reviews.
  • Monitors health center flow, diminishes bottlenecks, and tracks patient volume, capacity, and productivity.
  • Accepts responsibility for achieving health center goals regarding patient numbers, visit cycle time, appointment show rate, payment accuracy, and patient satisfaction.
  • Provides direct feedback to team members to enhance quality, accuracy, and patient satisfaction.
  • Coaches team members on improving customer service.
  • Manages facility upkeep in conjunction with the facility team and reports needs promptly.
  • Fosters a positive communication environment by eliciting creativity, staff ideas, concerns, and suggestions.
  • Maintains positive employee relations by proactively addressing concerns and appropriately responding to and documenting performance issues.
  • Ensures ongoing training and development programs are available to staff and that all required training is completed for direct reports.
  • Has unrestricted access to patient protected health information (PHI) for treatment, payment, and healthcare operations, adhering to the minimum necessary rule.
  • Embraces and utilizes the organization’s 'In This Together' customer service standards with all customers.
  • Duties and responsibilities may be added, deleted, or changed at management's discretion.

Requirements

  • Bachelor’s degree + some relevant experience, OR Associate’s degree + 2 years of relevant experience, OR High School diploma or equivalent + 4 years of relevant experience.
  • Relevant experience includes customer service, retail, or direct patient care in a healthcare industry or clinical environment.
  • Supervisory or management experience preferred.
  • Excellent computer skills with knowledge of Microsoft Word, Excel, PowerPoint, Outlook, and Internet.
  • Willingness and ability to adapt to change, including advances or new technology.
  • Excellent customer service skills and commitment to providing the highest level of customer satisfaction.
  • Must be able to work all health center hours of operation, including evenings and weekends.
  • Must be able to travel as required.
  • Understanding of and compliance with established risk management and safety procedures.
  • Understanding of core work processes in a women’s health and/or fee-for-service clinic serving the uninsured and underinsured.
  • Understanding of how accreditation standards, regulatory agencies, funding, the external marketplace, and a competitive environment drive change within a non-profit healthcare center.
  • Ability to appropriately use medical terminology.
  • Strong organizational skills and ability to multi-task.
  • Ability to manage details and complexity, handle a variety of tasks simultaneously, and work under pressure.
  • Ability to exercise initiative, sound judgment, and problem-solving techniques in the decision-making process.
  • Ability to effectively use the organization’s computer systems.
  • Must be discreet and safeguard confidential information.
