About the Role

The Legal Administrative Assistant provides day-to-day operational and transactional support to Longroad Energy’s legal team, ensuring smooth deal and contract workflows across a growing portfolio of renewable energy projects. This role is central to supporting collaboration, document management, and partnership with internal stakeholders.

Responsibilities

  • Manage and maintain the contract repository and lifecycle management system, including intake, routing, version tracking and execution of agreements.
  • Coordinate e-signature workflows and facilitate physical signature logistics, including notarization.
  • Monitor shared legal mailboxes and triage incoming requests, agreements, and counterparty correspondence.
  • Assist attorneys and paralegal with preparation and assembly of closing binders, transaction checklists, and executed document packages.
  • Oversee matter management processes, including vendor coordination, invoice review, purchase order setup and tracking against budgets.
  • Track, maintain, and report on legal team data using shared systems.
  • Maintain organized digital and physical filing systems for project documents, title work, leases and legal correspondence.
  • Assist with ad hoc project support including document retrieval, courier coordination and facilitating signatures.
  • Support continuous improvement of legal team processes and workflows.
  • Handle confidential information with discretion and professionalism.

Requirements

  • 2+ years of administrative experience in a legal, energy, or professional services environment.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, SharePoint), including Mail Merge.
  • Familiarity with electronic signature platforms (e.g., DocuSign) and contract lifecycle management (CLM) systems.
  • Notary Public (California) certification required or willingness to obtain one within 90 days of start date.
  • Highly organized with strong attention to detail.
  • Ability to handle sensitive and confidential information with integrity.
  • Able to prioritize, multi-task and re-prioritize in a fast-moving environment.
  • In office at least 4 days per week.
  • Applicants must be currently authorized to work in the United States.
