About the Role
CFA Institute is seeking a Specialist, Speaker Management to support the Global Event Solutions team. This role focuses on managing the speaker administration for a global events portfolio, including scheduling, contracts, permissions, logistics, internal coordination, and stakeholder follow-up. The ideal candidate is highly organized, calm under pressure, and confident working with various stakeholders to ensure smooth event execution.
Responsibilities
- Coordinate speaker management activity across multiple events and projects.
- Support speaker scheduling, contracting, permissions, information gathering, and event logistics.
- Work professionally and responsively with external speakers, including senior and high-profile contributors.
- Partner with internal teams across events, sponsorship, operations, finance, procurement, multimedia, marketing, and programme/content.
- Maintain accurate records, reporting, and event/speaker-management system updates.
- Track risks, blockers, or missing information and escalate early for necessary input or decisions.
- Help ensure speaker workflows run smoothly for major CFA Institute events and related stakeholder activity.
Requirements
- Experience in events, ideally with direct exposure to speaker management, speaker coordination, or contributor management.
- Experience supporting speaker logistics, contracts, permissions, scheduling, or comparable event-administration workflows.
- Comfort managing multiple events, deadlines, or workstreams simultaneously in a fast-paced environment.
- Strong organization, accuracy, and follow-through with the ability to manage details independently.
- Confident external communication skills, including working with speakers, contributors, vendors, or senior stakeholders.
- Sound judgment on when to resolve issues independently and when to escalate early.
- Experience using event, speaker, contract, reporting, or internal coordination systems is useful.
- Finance or professional-services event experience is helpful but not required.
