About the Role
As an Executive Administrative Assistant, you will provide high-level administrative and strategic support to senior leadership. You will operate as a trusted partner, ensuring seamless day-to-day operations while anticipating needs, managing priorities, and enabling executive effectiveness. This role requires strong organisational skills, sound judgement, and the ability to manage multiple priorities in a fast-paced, dynamic environment. You will also play a key role in maintaining professionalism, confidentiality, and operational excellence across all interactions. In addition, you will act as a mentor and coach to peers, reinforcing office protocols, best practices, and expectations.
Responsibilities
- Manage complex executive calendars, prioritising requests and resolving scheduling conflicts
- Coordinate internal and external meetings across time zones
- Serve as a primary point of contact for internal and external stakeholders
- Manage correspondence including emails, calls, and formal communications
- Ensure timely and professional communication on behalf of executives
- Organise meetings and events, including logistics, materials, and room bookings
- Prepare agendas, presentations, and document meeting outcomes
- Coordinate complex domestic and international travel arrangements
- Manage itineraries, accommodations, and transportation
- Prepare, format, and edit reports, presentations, and executive materials
- Maintain accurate and organised documentation systems
- Manage expenses, invoices, and financial tracking
- Support budgeting and reporting activities
- Support special projects and strategic initiatives
- Maintain office operations, including supplies and filing systems
- Provide guidance and mentorship to administrative peers
- Ensure adherence to organisational standards and office protocols
Requirements
- Proven experience as an Executive Administrative Assistant or in a similar role (typically 3+ years)
- Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience managing complex calendars, travel arrangements, and executive communications
- Strong organisational, time management, and problem-solving skills
- High level of professionalism and confidentiality
- Could be asked to travel on occasion to certain events
- Overtime may be required at times
- AI / Copilot knowledge necessary
