About the Role
The Royalties & Partnership Accountant will manage licensing deals, focusing on the end-to-end process of royalty reporting, validation, invoicing, and collections using the in-house Royalty system, West End. This role ensures all royalty income is accurately reported, validated, invoiced, and collected according to contractual terms and financial controls.
Responsibilities
- Ensure timely submission and receipt of royalty reports from licensees and third-party agents, verifying accuracy, completeness, and contractual compliance.
- Onboard new licensees onto the West End royalty portal, offering guidance and support for accurate royalty report submission.
- Review royalty statements for accuracy, completeness, and contractual compliance.
- Identify and resolve discrepancies in reported royalties with licensees.
- Prepare and issue invoices based on validated royalty reports and contractual terms.
- Monitor advances, recoupments, and overage positions across license agreements.
- Track outstanding invoices and follow up for timely payment.
- Maintain an accurate debtors ledger with clear commentary and audit trail.
- Escalate overdue balances and collection risks to commercial stakeholders.
- Assist in maintaining data integrity within the Westend royalty system, ensuring accurate processing of approximately 2,500 reports quarterly and correct review of recoupment and overage positions.
- Ensure consistency between licensee reports, internal records, and invoicing data.
- Serve as the primary contact for licensee queries regarding royalties and payments.
- Collaborate with internal teams to gather and validate data, ensuring timely issue resolution and collection of overdue royalties.
- Collect and consolidate royalty forecasts from licensees to support planning.
- Flag discrepancies, create and update SKUs, and work with licensees to resolve reporting errors.
- Monitor and identify overdue payments, taking action according to WB CPLG credit control procedures.
- Prepare and issue withholding tax documentation to licensors and licensees, ensuring compliance.
- Maintain dashboards and audit trails for compliance and financial controls.
- Contribute to the continuous improvement of royalty processes and reporting efficiencies.
- Provide cross-territory support during team absences to ensure continuity of royalty reporting, validation, and credit control.
- Perform other ad hoc duties as required.
Requirements
- Previous experience in a related finance role.
- Ability to interpret and apply contractual terms accurately.
- Demonstrated ability to manage multiple tasks in a fast-paced environment.
- Strong interpersonal skills with effective communication abilities at all levels.
- Excellent organizational and prioritization skills.
- Strong written and verbal English communication skills.
- High level of accuracy and strong attention to detail.
Skills
- Royalties experience preferred.
- Strong MS Excel skills (VLOOKUP, Pivot tables).
