About the Role

Manage the maintenance, safety, and overall operations of The Royal Kennel Club building, ensuring facilities meet government regulations, health and security standards, and energy efficiency requirements. This role involves overseeing a preventative maintenance program and acting as the primary point of contact for all building-related matters.

Responsibilities

  • Manage The Royal Kennel Club’s property portfolio, including leasing and development.
  • Oversee property maintenance, repairs, refurbishments, and renovations to high standards within timelines and budget.
  • Perform routine building inspections and produce condition reports.
  • Manage space planning and recommend allocation for optimal utilization.
  • Maintain records related to maintenance, costs, and building occupants.
  • Manage landlord and tenant relationships, including lease negotiations and rent reviews.
  • Respond to inquiries from tenants, staff, members, and the public.
  • Plan and supervise building maintenance tasks with various sub-contractors.
  • Liaise with external contractors and service providers.
  • Oversee cleaning contractors on all sites and attend monthly review meetings.
  • Manage relationships with external M+E service providers, monitor performance, and attend monthly review meetings.
  • Hire, train, supervise, and evaluate maintenance, security, and cleaning staff.
  • Lead, mentor, and develop the property and facilities team.
  • Report regularly to the CPO and other key stakeholders on performance.
  • Manage and oversee the Health and Safety committee to ensure compliance.
  • Oversee building safety for tenants, occupants, and visitors.
  • Oversee fire prevention and security systems.
  • Execute emergency procedures, including developing and implementing response plans.
  • Oversee and/or complete risk assessments for all works and events.
  • Oversee online Accident/Near Miss and Hazard reporting and RIDDOR investigations.
  • Oversee H+S Site inductions for new starters and contractors.
  • Oversee online office and WFH DSE Assessments and any remedial tasks.
  • Monitor and implement future changes to H&S legislation.
  • Chair and lead quarterly H+S committee meetings.
  • Oversee the development of BCP/DRP throughout the business.
  • Receive reports of breakdowns or damage and plan repairs.
  • Ensure compliance with relevant codes, regulations, and legislation.
  • Conduct, review, and update regular risk assessments and implement mitigation measures.
  • Monitor EPC and Net Zero targets, providing advice to ensure continuous improvements.
  • Manage the Property and Facilities Management Budget.
  • Approve Purchase Orders.
  • Ensure income is captured from tenants and bookings are invoiced in advance.
  • Monitor monthly spending across all sites.
  • Oversee security operations for all sites.
  • Act as Joint Keyholder for Intruder and Fire Alarms.
  • Manage Manned Security Guard at Clarges Street.
  • Oversee CCTV and Access Control operations.
  • Oversee booking system and invoicing for Stoneleigh.
  • Oversee postal operations for the business based at Aylesbury.
  • Oversee collaborative partnerships with Club, Membership services, and Heritage and Culture teams.

Requirements

  • Proven experience as a Property and Facilities manager or similar role, preferably in a multi-site environment.
  • Strong knowledge of building maintenance, repair, and safety procedures.
  • Understanding of legal requirements and regulations related to health, safety, and the environment.
  • Experience of managing relationships with multi tenants.
  • Previous experience of managing budgets.
  • Good understanding of BMS functions and systems.
  • Use of own car is preferable for travel to non-London sites.
  • Able to attend out of hours call outs and emergencies late evenings or weekends.
