About the Role
Provide best-in-class administrative and operational support to 3-4 Global VPs, enabling leaders to operate at scale. This role focuses on driving efficiency through exceptional calendar management, coordination of key routines, and seamless execution of day-to-day logistics in a fast-paced, global environment.
Responsibilities
- Manage complex calendars for multiple senior leaders, ensuring optimal prioritization, efficient scheduling, and alignment across time zones.
- Coordinate logistics for core leadership routines, including team meetings, business reviews, and town halls.
- Manage domestic and international travel arrangements, including detailed itineraries and real-time adjustments.
- Support meeting preparation through agenda coordination, scheduling, and note-taking.
- Track and manage expenses, invoices, and budget-related administrative processes.
- Serve as a point of contact for scheduling and coordination with internal and external stakeholders.
- Maintain organized systems for documents, communications, and key materials.
- Ensure timely follow-ups on administrative actions and deadlines.
- Handle confidential information with professionalism and discretion.
Requirements
- Experience in an Executive Assistant or administrative support role, ideally supporting senior leaders.
- Strong organizational and time management skills, with the ability to manage multiple priorities accurately.
- High attention to detail and commitment to delivering quality work.
- Strong communication skills and a professional, service-oriented mindset.
- Ability to operate effectively in a fast-paced, global environment across multiple time zones.
- Proficiency in Microsoft Office (Outlook, PowerPoint, Excel) and scheduling tools.
- Reliable, responsive, and able to execute tasks with minimal oversight.
- High level of integrity and discretion when handling sensitive information.
