About the Role

The Staffing Operations Manager will oversee the day-to-day operations of the Staffing Managers and provide leadership in ensuring effective caregiver-client matching, caregiver retention, and high-quality service delivery. The role will also support the professional growth of caregivers, help implement retention initiatives, and ensure caregivers feel valued and supported throughout their time with IOA. Additionally, the Staffing Operations Manager will participate in the on-call rotation.

Responsibilities

  • Provide leadership, guidance, and direct supervision to Staffing Managers.
  • Ensure Staffing Managers meet performance expectations in client-caregiver matching, scheduling, and communication.
  • Review and assess the staffing workflow to improve efficiency and address gaps.
  • Develop and implement caregiver retention strategies.
  • Coordinate periodic calls or visits to caregivers on assignments.
  • Act as a mentor and resource for caregivers.
  • Collaborate with HR and the Director of Home Care to identify and reward high-performing caregivers and address performance issues.
  • Conduct in-person interviews with caregiver candidates in partnership with the Recruiting team.
  • Lead or coordinate training programs for caregivers.
  • Serve as a "train-the-trainer" expert for Staffing Managers and caregivers.
  • Collaborate with HR to ensure caregivers are up to date on certifications, compliance, and training.
  • Contribute to the overall client experience by ensuring well-matched caregivers and high service standards.
  • Conduct regular check-ins with clients to assess caregiver performance.
  • Collaborate with the Director of Home Care and Client Services Managers to ensure seamless communication and problem resolution.
  • Monitor and evaluate caregiver performance, offering mentorship, coaching, and counseling.
  • Conduct periodic site visits to observe caregivers in the field.
  • Partner with the Client Services Manager to address caregiver-related issues.
  • Oversee Staffing Managers in ensuring adequate caregiver coverage for all clients.
  • Provide support in managing complex scheduling issues, cancellations, and emergency staffing needs.
  • Assist in ensuring the on-call system functions efficiently.
  • Participate in the on-call rotation.
  • Participate in interdisciplinary team meetings.
  • Collaborate with the Director of Home Care, HR, and Client Services Managers to implement initiatives.
  • Monitor retention rates, caregiver satisfaction, and other key performance metrics.
  • Provide regular updates and reports to the Director of Home Care and the Vice President of Home Care and Support Services.

Requirements

  • Bachelor’s degree in a related field (e.g., Business, Human Resources, Healthcare Administration, Social Work) or equivalent experience.
  • At least 2 years of leadership or managerial experience preferred.
  • At least 2 years of experience in staffing, coordination, or client services in any industry is preferred.
  • Proven track record of achieving productivity or performance targets in a fast-paced environment.
  • Strong organizational and multitasking skills.
  • Strong analytical and decision-making abilities.
  • Excellent communication skills, both verbal and written.
  • Strong decision-making and problem-solving abilities.
  • Flexibility in managing shifting priorities and adapting to changes.
  • Experience with operational improvements or implementing best practices in a service-based environment preferred.
  • Strong computer skills and fluency in Microsoft Word, Excel, Outlook, and other software systems.
  • Database or CRM experience a plus.
  • Reliable regular transportation.
