About the Role
Provides comprehensive and confidential administrative support to the Executive Vice President and Chief Human Resources Officer (CHRO) of FINRA, as well as incidental support to other People Solutions leaders. This role involves advanced technical or administrative work requiring expertise and limited supervision on business-sensitive and confidential materials. The position demands strong judgment, communication, administrative, and organizational skills to manage multiple priorities and handle time-sensitive matters with discretion.
Responsibilities
- Provides sophisticated time and issue management for CHRO and PS leaders.
- Coordinates and corresponds with internal and external staff, eliciting the substance and importance of matters.
- Prioritizes inquiries and requests, troubleshooting conflicts and making judgments with minimal guidance.
- Provides and gives guidance to complex calendar management.
- Schedules appointments including conference calls, video conferences, and in-person meetings, ensuring appropriate materials are available and arranging logistics.
- Makes complex travel arrangements for conferences, off-site meetings, and events, addressing last-minute changes.
- Manages incoming calls and prioritizes messages, emails, and other correspondence.
- Greets visitors, provides information, and offers assistance.
- Places outgoing calls on behalf of the executive to request information or contact appropriate persons.
- Handles all calls and visitors with a high degree of professionalism.
- Directs and delegates handling of correspondence to appropriate staff.
- Tracks expenses, prepares expense reports, and resolves related issues.
- Prepares and manages email correspondence and other written materials from verbal direction, softcopy, or knowledge of company policy.
- Files correspondence and other records or forwards documents for storage.
- Liaises with internal staff on behalf of the CHRO regarding engagement and interpersonal matters.
- Assists with and creates PowerPoint and Excel documents for CHRO and PS leaders.
- Provides other related administrative support of a highly sensitive and confidential nature, applying appropriate judgment.
- Provides assistance and guidance to various organizational PS programs and ensures an appropriate course of action.
- Demonstrates FINRA’s values.
- Collaborates, both in-person and virtually, in furtherance of FINRA’s mission of investor protection and market integrity.
Requirements
- Ten years of related experience as a secretary, administrative assistant, executive assistant, or similar.
- Advanced experience utilizing Microsoft Office applications such as Word, Excel, and PowerPoint.
- Significant experience utilizing travel and expense systems such as Concur and Workday.
- FINRA employees are required to disclose to FINRA all brokerage accounts that they maintain, and those in which they control trading or have a financial interest.
- Employees must authorize their broker-dealers to provide FINRA with duplicate statements for all disclosed accounts.
- All disclosed accounts are subject to the Code’s investment and securities account restrictions.
- New employees must comply with investment restrictions—including disposing of any security issued by a company on FINRA’s Prohibited Company List or obtaining a written waiver—by the date they begin employment.
- Employees may only maintain securities accounts that must be disclosed to FINRA at one or more securities firms that provide an electronic feed (e-feed) of data to FINRA.
- Employees must move securities accounts from other securities firms to a firm that provides an e-feed within three months of beginning employment.
- Employees must execute FINRA’s Employee Confidentiality and Invention Assignment Agreement without qualification or modification.
- Employees must comply with the company’s policy on nepotism.
