About the Role
Athena is seeking a Senior Personal Assistant to join our dynamic and expanding team. This role reports to the Director of Property Management. Candidates must be familiar with family office / UHNW and high-net-worth clients and possess the ability and resourcefulness to proactively manage competing priorities across multiple principals while delivering anticipatory, white-glove service. This is a unique opportunity to develop and lead a best-in-class hospitality and concierge function from the ground up.
Responsibilities
- Provide day-to-day support to Athena’s clients, prioritizing and balancing their needs, and navigating seamlessly across multiple homes and locations
- Carry out personal and ad-hoc errands, including but not limited to personal shopping and returns, events, physical donations, and auctioning and selling items
- Manage gifting and delivering the on-site hospitality experience for visitors, business guests, and family at clients’ home(s)
- Manage client reservations, including but not limited to restaurants, wellness, and children’s activities
- Coordinate tracking, receiving, and organizing of delivery of items (e.g., certified mail, FedEx); provide progress reports
- Maintain detailed preference profiles for each principal including dining, wellness, travel, and lifestyle preferences, ensuring service is personalized, consistent, and anticipatory
- Research information and create comprehensive summaries of findings and analyses to provide recommendations and/or suggest potential next steps
- Plan and execute complex domestic and international travel: private aviation, hotel, ground transportation, yacht charters, and VIP access
- Build detailed itineraries and manage all supporting documentation - visas, passports, travel insurance
- Remain available during client travel to troubleshoot and resolve disruptions in real time
- Prepare the home for guests, including but not limited to guest room set-up, providing refreshments, flowers, bathroom and bedroom amenities, and other client preferences.
- Coordinate private entertaining at client residences, working alongside event planners and household staff, as needed
- Manage the full guest experience from invitation through follow-up, reflecting each principal's entertaining style and standards
- Maintain an active network of relationships across luxury hotels, restaurants, private clubs, and cultural institutions
- Oversee holiday gifting programs, seasonal residence transitions in collaboration with estate managers, and holiday entertaining calendars
- Track client milestones, birthdays, and social commitments; coordinate gifts, donations, and RSVPs
- Draft personal correspondence and communications on behalf of principals as needed
- Manage social calendars in coordination with client schedules
- Source and manage vendors including third-party lifestyle and concierge management vendors, event planners, private chefs, florists, entertainment, and specialty services
- Establish operating procedures, service standards, and systems for growing hospitality and concierge practice within the multi-family office
- Develop client intake processes, preference documentation, and quality control frameworks as the function scales
- Oversee and delegate to the existing Personal Assistant, directing task and errand execution
Requirements
- 15+ years of experience as a Personal Assistant or Lifestyle Manager supporting UHNW individuals or families, ideally within a family office or luxury hospitality service environment
- Proven ability to manage multiple principals simultaneously with competing, fast-moving priorities
- Deep familiarity with luxury travel, private entertainment, and premium vendor ecosystems across key markets (NYC, Hamptons, Miami, Europe)
- Exceptional interpersonal skills — warm, confident, and polished with high-profile principals and their networks
- Highest standard of discretion, confidentiality, and judgment
- Experience mentoring or directing support staff
- Flexibility for evenings, weekends, and travel as client needs require
- Proficiency with task management and communication platforms (Monday.com, Slack, Outlook)
- Proficiency in Microsoft Office and Microsoft Excel
- This position must be based in the NYC area.
- This position may require the ability to lift up to 15 pounds.
- This position may include prolonged periods of standing or walking.
- Athena’s policy requires all professionals to be in the office at least four days per week.
- This position may require the ability to be on-site at a client location on a more frequent basis, including weekend or after-house flexibility as circumstances dictate.
