About the Role
The Practice Manager is responsible for implementing and monitoring administrative and clinical systems that support patient care within the assigned practice.
Responsibilities
- Develops and supports employees at all levels in a supportive atmosphere.
- Plans, directs, and participates in staff meetings.
- Informs staff of organizational changes and their impact.
- Acts as a liaison between organizational management and site staff.
- Coaches teams towards self-direction and empowerment.
- Resolves issues and conflicts appropriately.
- Assists with the development of cycles, objectives, and outcome measures.
- Ensures staff competencies through orientation, evaluation, and training.
- Participates in the organization's quality improvement program.
- Works with providers and teams to implement and monitor performance indicators using NCQA and PCMH principles.
- Conducts performance improvement activities related to patient/employee satisfaction and patient flow.
- Coordinates utilization and review management with clinical teams.
- Manages hiring, counseling, disciplinary actions, and terminations in collaboration with HR.
- Administers performance evaluations for subordinate staff in collaboration with the Director of Practice Operations.
- Ensures adequate staff coverage and oversees day-to-day site operations, including registration, scheduling, insurance verification, and billing.
- Oversees health information and medical records functions.
- Provides excellent customer service and responds to complaints.
- Oversees internal and external referrals, ensuring timely closure.
- Ensures provider schedules are at capacity.
- Monitors patient access to appointments and medical services.
- Maintains knowledge of legal implications of professional licensing and practices.
- Ensures availability of medical equipment and office supplies to meet health and safety standards.
- Oversees time of service collection, insurance eligibility, and registration.
- Recommends master staffing patterns and personnel complements.
- Monitors staff hours, including overtime.
- Completes paperwork for purchasing and payment of supplies and services.
- Monitors revenue, salary, and non-salary expenses against budget.
- Participates in the site's budget process.
- Makes recommendations for program changes with supporting data.
- Projects capital equipment needs and makes recommendations.
- Interprets budget to staff and sets expectations for cost containment.
- Writes reports and maintains records as required by regulatory agencies.
- Demonstrates excellence in customer service.
- Communicates HIPAA and corporate compliance.
- Ensures compliance with local, state, and federal regulations.
- Adheres to national patient safety goals.
- Completes other assigned duties.
Requirements
- Associates Degree in business or related field, or 5-7 years of relevant experience.
- Five years of supervisory/managerial experience.
- Proficiency in using a practice management system.
- Knowledge of professional procedures.
- Excellent verbal and written communication skills.
- Proficient with Microsoft Word and Excel.
- Demonstrates cultural sensitivity and competency.
- Flexibility to adjust to schedule changes.

Salary/Compensations
- $70,000 - $78,000 annually
