About the Role
Supports the Director, Swimming & Diving in managing a nationally competitive Men’s and Women’s Swimming and Diving program, including coaching, recruiting, academic monitoring, and team operations. This role also enhances program visibility through collaboration with Strategic Communications.
Responsibilities
- Assist with all administrative coordination for coaching staff, including off-campus recruiting, credit card reconciliation, awards ordering, and purchase orders.
- Liaise with the Compliance Office for all required paperwork and software requirements.
- Coordinate all aspects of Swimming and Diving Camp/Clinics logistics and operations.
- Assist in coordinating match-day needs with corresponding departments.
- Assist in Nike Gameday gear ordering/inventory/management.
- Regularly review and maintain oversight of the Men’s and Women’s budget.
- Attend all Swimming and Diving staff, Athletics Department, and other required meetings.
- Engage and communicate regularly with Alumni and Friends of the Swimming and Diving Programs.
- Assist the Head Coaches in maintaining an accurate roster in all required software platforms.
- Liaise to the Athletics Academic Services on the academic success and monitoring of the team.
- Responsible for all aspects of team travel coordination, including flights, buses, rentals, hotels, meals, per diem distribution, practice times, and itinerary generation.
- Responsible for coordinating/executing all official and unofficial visits, including compliance forms, itineraries, travel, lodging, and meals.
- Oversee Cadet-Managers, ensuring they fulfill their responsibilities.
- Promote the philosophy and objectives of AWPAA, adhering to all applicable policies, procedures, rules, and regulations.
- Assist the Director, Swimming & Diving in the ongoing teaching and instruction of Cadet-athletes in games, practices, workouts, and conditioning sessions.
- Coach and instruct student-athletes individually and in groups, demonstrating game techniques and skills.
- Plan and attend coaching and practice sessions, games, and tournaments.
- Develop, recommend, and teach game strategy.
- Monitor and maintain the discipline and conduct of Cadet-athletes.
- Supervise assigned assistant coaches and other support staff, providing orientation, training, and guidance.
- Serve as the primary contact with Strategic Communications to develop/execute strategies that grow Swimming and Diving audiences.
- Help with the coordination and implementation of the Swimming and Diving programs social media plan.
- Work with marketing and video staffs on providing content for accounts.
- Assist with the creation of recruiting graphics.
- Assist with the creation and execution of a weekly prospective Cadet-athlete social media campaign.
- Ensure content is consistent with USMA and AWPAAD goals and mission.
- Conduct regular SWOT analyses of peer Swimming and Diving programs’ creative strategies.
- Coordinate Senior Day.
- Coordinate postseason team banquet.
- Coordinate pre R-Day social.
- Perform other duties as assigned.
Requirements
- Bachelor’s degree from a four-year accredited institution.
- 2–3 years of full-time experience at an NCAA institution, professional sports organization, or other elite sporting institution.
- Experience in administrative leadership, decision-making, management, and supervision.
- Previous leadership role in a nationally recognized athletic department.
- Ability to demonstrate good judgment and respond quickly under pressure in a public environment.
- Leads by example with high personal expectations, strong character, and appropriate advocacy for the department.
- Ability to build and maintain relationships.
- Excellent organizational and communication skills.
- Willingness to work evenings and weekends.
- Must be eligible to work in the United States of America, without sponsorship.
- Must be eligible to work on a military installation, including a willingness to submit to a background screen.
- Must possess a valid driver’s license.
