About the Role
This role provides essential administrative support to attorneys and patent agents within the Intellectual Property Practice Section, ensuring efficient daily operations and timely handling of all USPTO submissions and client communications.
Responsibilities
- Ensure efficient daily administrative tasks and support for attorneys and patent agents.
- Create shells for Office Action responses.
- Prepare and electronically file responses to the USPTO.
- Assist with other USPTO submissions and documents.
- Review timekeeper docket reports and maintain docket notes.
- Report USPTO communications to attorneys and clients.
- Ensure prompt responses to inquiries.
- Research, generate, and update case status reports and IP schedules.
- Access and research patent databases.
- Open new matters.
- Review and edit client bills.
- Screen calls and emails.
- Process expense reports.
- Submit check requests.
- Process invoices.
- Handle travel arrangements.
- Maintain electronic files.
- Assist with secretarial coverage during absences of IP legal secretaries.
- Produce a variety of documents using the Firm’s Microsoft Office system.
- Compose routine and non-routine correspondence for attorney review.
- Provide administrative support by organizing workflow, files, and recordkeeping.
- Prepare timesheets and client bills.
- Process incoming and outgoing mail and overnight deliveries.
- Maintain calendar, schedule appointments, and coordinate travel arrangements.
- Work overtime as needed.
- Perform other administrative duties as assigned.
Requirements
- 5+ years of legal secretarial experience in patent prosecution required.
- In-depth knowledge of USPTO rules and regulations required.
- Maintain a thorough knowledge and understanding of U.S. Patent and Trademark Office rules and regulations and the filing procedures for all aspects of U.S. patent prosecution and international prosecution.
- Advanced-level MS Office Suite and Adobe Acrobat skills required.
- Excellent client service, communication, organizational, and time management skills required.
- Team player with outstanding interpersonal skills and a strong work ethic.
- Accurate typing speed of 60+ wpm.
