About the Role
The People Experience & Office Coordinator is the heartbeat of the New York office, ensuring smooth operations, welcoming employees and guests, and actively contributing to a positive company culture. This hybrid role supports the People Operations team and collaborates with various cross-functional departments. The ideal candidate is organized, energetic, and passionate about creating excellent experiences, with a strong commitment to DEI and supporting Employee Resource Groups.
Responsibilities
- Serve as the face of the NYC HQ, welcoming employees, clients, and guests.
- Maintain a clean, organized, and aesthetically thoughtful office environment.
- Manage office supply and kitchen inventory, placing orders within budget.
- Coordinate with external vendors and building management.
- Own coordination and catering for in-person client and team meetings.
- Receive, sort, and manage all incoming and outgoing mail and deliveries.
- Manage NY office-related expenses and support expense reporting.
- Respond promptly and professionally to employee questions and requests regarding office operations.
- Identify and implement process improvements for office efficiency.
- Support ad hoc office projects, including space planning, in-office events, and communications.
- Remotely manage day-to-day operations for the Industrious Midtown shared workspace.
- Coordinate with Industrious for work orders, keycards, guest registration, and onsite meetings.
- Order office supplies and food orders for the shared workspace.
- Collaborate with the POPS team and on-site employees on office requests and engagement initiatives.
- Assist with other location office operations and remote employee requests.
- Support smooth onboarding and offboarding experiences for NY employees.
- Order and coordinate gifts and gift cards for employee anniversaries and life events.
- Post employee anniversaries and birthdays in Slack channels.
- Facilitate the execution of agency-wide events, ensuring consistent experiences.
- Support People Operation processes and ad hoc requests.
- Coordinate logistics and programming for company-wide meetings and all-hands events.
- Support Employee Resource Groups (ERGs) with administrative operations.
- Coordinate ongoing ERG logistics, including agenda reviews and calendar updates.
- Assist with the logistics of ERG events, including food orders and space setup.
Requirements
- 2+ years of administrative, office management, or people operations experience.
- A can-do attitude and genuine willingness to step in wherever help is needed.
- Excellent customer service skills and the ability to make people feel welcome and cared for.
- Strong written and verbal communication skills.
- Solid ability to multitask, stay organized, and pay close attention to detail.
- Positive energy, professionalism, and punctuality.
- Flexibility to adapt as priorities shift in a fast-paced environment.
- Aptitude to work independently and collaboratively within a team.
- Ability to maintain confidentiality in all aspects of employee and agency information.
