About the Role

As the world's largest provider of thermal processing services, Bodycote employs thousands of highly skilled staff around the globe. This safety-sensitive position, based in Berlin, CT, involves essential administrative, financial, human resources, and customer interaction duties under the direction of the General Manager.

Responsibilities

  • Manage and organize employee files, including personnel, medical, and confidential records.
  • Oversee employee performance, provide guidance on disciplinary processes, and manage employee grievances and counseling.
  • Handle recruitment of hourly hires, onboarding, orientation, terminations, training, and benefits administration.
  • Ensure accurate and timely processing of HR forms for new hires, transfers, promotions, and leaves of absence.
  • Partner with HR to ensure compliance with federal and state regulations, company policies, and maintain records.
  • Ensure timely and accurate submission of weekly employee time records and manage attendance, including PTO, holiday pay, and other leave types.
  • Maintain confidentiality of employee compensation information.
  • Support accounts receivables by providing necessary information to the centralized Shared Services Team and managing days sales outstanding.
  • Act as a point of contact for high-risk customers and assist with collections.
  • Prepare credit memos with supporting documentation and obtain necessary approvals.
  • Complete and submit new customer setup forms to the Centralized Shared Services Team.
  • Perform daily and accurate invoicing of shipped product and submit supporting data to AR.
  • Partner with plant management to create and submit purchase orders in the ERP system, validating budget limitations.
  • Upload Accounts Payables batches.
  • Raise purchase orders with correct coding and verify workflow completion.
  • Enter receipt of goods and batch vendor invoices to Shared Services.
  • Complete new vendor and customer forms, obtaining all required paperwork and approvals.
  • Submit all month-end reports accurately and on time as designated by the Regional Controller, Shared Services, and HR.
  • Compile and complete month-end reports, including PIS report, Month-end Pack, utility meter readings, and Shipped Not Invoiced report.
  • Accurately report accounting daily, weekly, and month-end numbers in partnership with the General Manager, Shared Services, and local Senior Leadership.
  • Update Corporate Cadence with Sales and Aging Reports and perform sales reconciliations.
  • Supervise front office staff and provide support for regional initiatives and information requests.
  • Answer telephones, process mail, and manage day-to-day office operations.
  • Assist with order entry of customer orders.
  • Assist the management team with customer quotes, pricing, and capital expenditures.
  • Manage contractor services such as lawn care, snow removal, and building maintenance.
  • Organize employee events, including company meetings and holiday parties.
  • Assist in the facilitation of multi-disciplined audits, including customer Quality, ISO, AS9100, NADCAP, and Safety.
  • Submit expense reports through Concur for plant expenses.
  • Support the proper execution of ITAR related plant procedures.
  • Perform other tasks as assigned by management.

Requirements

  • Must satisfy ITAR compliance requirements; candidates must be U.S. Citizens or Permanent Resident Card Holders.
  • Five years of general office, accounting, and finance experience.
  • Familiarity with applicable employment laws.
  • Proficiency in ERP and database systems.
  • Ability to communicate effectively orally and in writing in English.
  • Must possess supervisory skills and be able to effectively direct and prioritize the work of others.
  • High proficiency with Microsoft Office Suite (Excel, Word, Outlook).
  • Comfortable functioning in an organization with strong dotted line reporting to accounting, finance, and HR.
  • Ability to function as an effective team member through good communication and cooperation.
  • Strong organizational and interpersonal skills.
  • Excellent multi-tasking skills and ability to prioritize workflow.
  • Ability to guide, lead, and direct employee relation activities and communication meetings.
  • Must be able to work in a sitting or standing position for extended periods in an industrial environment.
  • Manual dexterity for data entry.
  • Ability to bend, pull, stoop, and reach.
  • Ability to lift up to 35 lbs.
  • Must have the cognitive and mental capacity to perform essential job functions.
  • Visual acuity to read documents, computer screens, and files.
  • Ability to hear in person and via phone.
