About the Role

Lead the continuous delivery of Leaseholder management, Service Charge, and Estates Facilities Management for residential assets in London within the Build-to-Rent department. This role holds full accountability for the financial management of service charge estates, ensuring all maintenance, operations, Health & Safety, and compliance requirements are met. You will oversee hard/soft services, compliance matters, and contribute to the wider portfolio strategy.

Responsibilities

  • Provide advice on and issue relevant notice of works, including s20 notices.
  • Serve as the primary point of contact for day-to-day queries regarding service charges and accounts.
  • Ensure adherence to occupier lease agreement obligations on behalf of the Landlord and Tenants.
  • Manage the financial aspects of service charge estates, including budget, accruals, cashflow, and reporting.
  • Host quarterly meetings with Housing Associations to discuss updates, address issues, and ensure stakeholder communication.
  • Act as the key contact for block-related queries within Building Services, supporting Housing Associations and Savills onsite management teams.
  • Manage Planned Preventative Maintenance (PPM) schedules for hard and soft services, including fire life safety systems, and liaise with third-party contractors.
  • Complete monthly site audits and upload them to the system by the target date.
  • Oversee contract management to ensure value and quality from suppliers.
  • Lead the setting and delivery of the annual service charge budget with the Savills senior team.
  • Provide periodic budget vs. actual reporting to clients, offering improvement strategies based on expenditure knowledge.
  • Ensure proactive delivery of Estate Services in full compliance, with a focus on exceeding client and resident expectations.
  • Develop, implement, and maintain management systems for all buildings, facilities, and public realm areas.
  • Ensure compliance with the Property Management Agreement, KPIs, SLAs, industry best practices, Professional Statement, and statutory obligations.
  • Develop and maintain strong, collaborative relationships with Housing Associations and Estate Stakeholders.
  • Deliver standards and brand values, driving operational aspects of placemaking initiatives, including team training, motivation, and development.
  • Facilitate and support Client’s Events and Community Programmes with the wider portfolio team.
  • Understand Client objectives and create property management plans to support those objectives.
  • Ensure adherence to client and Savills environmental policies, procedures, and strategies.
  • Collaborate with Savills departments (H&S, fire safety, operations) to ensure business-wide compliance.
  • Support the Senior Portfolio Manager on ESG deliverables for Savills and Client initiatives.
  • Ensure prompt reporting, accurate recording, and effective management of accidents, near misses, and identified risks.
  • Establish emergency procedures and safe working practices to ensure the health and safety of residents, occupiers, visitors, employees, and service providers.

Requirements

  • Proven track record in previous Estate and Block management roles.
  • Ability to prepare detailed Service Charge Budgets.
  • Experience in providing institutional-grade reporting to clients.
  • An ability to problem-solve and streamline services.
  • Experience in utility management.
  • Understanding of Health and Safety best practice.
  • Excellent problem-solving ability and a logical mindset.
  • Third-party contractor management experience.
