About the Role

The Accounts Payable Clerk will provide financial, administrative, and clerical support to the company, primarily responsible for making payments owed to suppliers and other creditors, and paying vendor invoices or bills.

Responsibilities

  • Post business transactions, process invoices, and verify financial data for accounts payable records.
  • Maintain meticulous records of outstanding payables, including daily and annual filing.
  • Add and update vendor information following proper protocols.
  • Ensure the accuracy of financial documents for payment, auditing, and tax purposes.
  • Monitor and ensure timely vendor payments.
  • Protect against unintentional overpayment to customers and businesses.
  • Clarify questionable invoice items, prices, or receiving signatures.
  • Assemble and review invoices for payment completion.
  • Maintain copies of vouchers, invoices, or correspondence for files.
  • Obtain necessary information and/or data regarding invoice payments.
  • Check vendor files for previous payments and assign voucher numbers.
  • Prepare vouchers detailing invoice number, date, vendor address, item description, amounts, and coding.
  • Input daily bookkeeping and record keeping.
  • Verify invoices against purchase orders and confirm receipt of goods or services before payment.
  • Complete weekly and periodic AP reports and other required records.
  • Provide clerical support, including greeting customers and answering phones.
  • Maintain organized filling systems and files.
  • Perform other duties as required.

Requirements

  • 1 – 3 years of experience in Accounts Payable.
  • An understanding of basic bookkeeping and accounting skills is required.
  • Ability to pay attention to detail.
  • Ability to enter a high volume of data.
  • Generally in daily communication with employees and vendors.
  • Ability to manage personal safety in a busy and fast-paced environment.
  • Ability to lift up to 30lbs.
  • Ability to sit and/or stand for extended periods.
  • Ability to reach with arms/hands.
  • Occasional requirement to walk, walk up/down stairs, stand, bend, stoop, reach, twist, lift, push, pull, and move items.
