About the Role

The US Oncology Network is seeking a Patient Services Representative to support the Gynecology Oncology department at Texas Oncology in South Austin. This full-time position offers a Monday-Friday schedule with no weekends, call, or major holidays. The role can be filled at a Level 1, 2, or Senior level depending on candidate experience. You will join a dedicated team focused on making a meaningful difference in patients' lives within a supportive and collaborative clinic environment.

Responsibilities

  • Answers all incoming calls, assesses caller needs, and directs them to the appropriate personnel.
  • Obtains and communicates messages accurately and in a timely manner.
  • Schedules new patients, referrals, and returning patients in the computer system.
  • Sets up new and referred patients in the system with appropriate documentation and coding.
  • Cancels and reschedules appointments according to physician schedule changes and notifies appropriate personnel.
  • Obtains and enters all insurance authorizations and referral correspondence into patient charts or EMR.
  • Collects co-pays, deductibles, and other out-of-pocket amounts at the time of visit.
  • Maintains the primary office scheduling template, including physician meetings, satellite schedules, rounding, and call coverage.
  • Arranges for patients to receive financial counseling as needed.
  • Demonstrates understanding of patient confidentiality to protect patients and the clinic.
  • Follows policies and procedures to contribute to front office efficiency.
  • Covers other front office functions as requested.
  • Prepares correspondence, memos, and forms as requested by the supervisor.
  • Schedules outpatient appointments, testing, surgeries, and hospital admissions upon request.
  • Obtains necessary pre-certification as required.
  • Communicates with patients about scheduled surgeries or tests, including potential prep work.
  • Gathers patient information and inquires about test specifics from necessary parties.
  • Follows up on pre-operative tests to ensure clearance for surgical procedures.
  • Communicates with physicians and patients if further testing is required before surgery.
  • Schedules post-operative follow-up appointments with physicians.
  • Maintains a basic understanding of medical terminology for tests and surgical procedures, including coding.
  • Ability to look up codes specific to diagnosis, surgery, and scheduling procedures.

Requirements

  • High School Diploma or equivalent required.
  • 0-3 years of medical business office experience for Level 1.
  • Minimum 3 to 5 years of medical business office experience for Level 2.
  • Minimum five years of medical business office experience for Level Sr.
  • Regularly required to sit and use hands to finger, handle, or feel.
  • Occasionally required to stand, walk, and reach with hands and arms.
  • Must occasionally lift and/or move up to 30 pounds.
  • Requires vision and hearing corrected to normal ranges.
