About the Role

Provides primary administrative support to the Head of Business Execution and Enablement in San Francisco, CA. This role is crucial for the effective execution of the Private Bank’s strategic priorities, including sales initiatives, business management, and enterprise coordination, operating in a fast-paced, highly visible environment.

Responsibilities

  • Manage complex, high-volume calendars for the Head of Business Execution and Enablement, including meeting scheduling, prioritization, and conflict resolution.
  • Provide coordinated scheduling and administrative support to the Sales Enablement Team.
  • Coordinate domestic travel, itineraries, and logistics.
  • Prepare daily agendas and ensure readiness for upcoming meetings.
  • Manage executive inboxes, including reviewing, prioritizing, and responding on behalf of the executives when appropriate.
  • Track and follow up on key emails, requests, and decisions.
  • Serve as a point of contact for internal and external stakeholders.
  • Prepare and submit expense reports in a timely and accurate manner.
  • Manage invoices, reimbursements, and administrative financial tasks.
  • Support procurement and administrative processes as needed.
  • Schedule and coordinate internal and external meetings, including leadership forums and team meetings across Business Execution and Sales Enablement and support communication flow.
  • Coordinate scheduling and logistics across senior leaders, partners, and teams.
  • Prepare and distribute agendas, materials, and meeting logistics.
  • Capture notes and track follow-ups as needed.
  • Format, edit, and prepare presentations, documents, and communications.
  • Maintain organized records of materials, files, and correspondence.
  • Ensure executives have materials in advance of meetings and engagements.

Requirements

  • 5+ years of experience supporting senior executives in a complex organization.
  • Demonstrated ability to manage competing priorities in a fast-paced environment.
  • Strong organizational, planning, and time management skills.
  • Excellent written and verbal communication skills.
  • High level of discretion and professionalism.
  • Proficiency in Microsoft Office (Outlook, Teams, PowerPoint, Excel).
