About the Role
Under supervision, performs complex, highly responsible, and confidential secretarial and administrative support activities for executive-level management. This role is crucial for supporting daily operations and ensuring efficient communication within the organization.
Responsibilities
- Performs complex secretarial and administrative support duties, including creating correspondence and spreadsheets, preparing reports, and designing PowerPoint presentations.
- Schedules and maintains complex executive calendars using Outlook.
- Oversees and coordinates internal and external events.
- Coordinates travel and accommodations for executives.
- Schedules and coordinates meetings and conference calls.
- Handles executive-level internal and external communications, including phone calls, emails, and written correspondence.
- Acts as a project manager on assigned projects and provides administrative assistance on other special projects.
- Manages department records, including organization, retrieval, archiving, and storage of electronic and paper documents.
- Performs office management duties as required.
- Provides general administrative support to other stakeholders across the business as needed.
Requirements
- Bachelor’s Degree in Arts/Sciences (BA/BS).
- 7+ years of secretarial and administrative experience.
- Ability to maintain a high level of confidentiality.
- Ability to work independently.
- Ability to be flexible, take initiative, and demonstrate accountability.
- Ability to adapt quickly to new methods, work under tight deadlines, and stressful conditions.
- Ability to set goals, multitask, and prioritize workload.
- Ability to work well within a team environment and participate in department projects.
- Ability to balance detail with departmental goals/objectives.
- Ability to coordinate projects and handle changing priorities.
