About the Role
Provide administrative and operational assistance to the Contract Administration team, focusing on the day-to-day management of the FM Clean system. Ensure accurate data entry, timely reporting, and compliance with contractual obligations and key performance indicators.
Responsibilities
- Manage reactive cleaning workflows by ensuring work orders are assigned, accepted, and effectively communicated to the operations team for timely completion.
- Administer site-based periodic cleaning schedules, maintaining accuracy across monthly, quarterly, and annual service requirements.
- Oversee proactive cleaning programs, including carpet cleaning, ensuring schedules are up to date, and services are completed and invoiced accurately.
- Distribute daily customer complaint reports and provide ad hoc reports and notifications as required.
- Manage and respond to help desk emails, triaging requests and allocating tasks to the operations team to support timely resolution.
- Track key performance indicators (KPIs) using spreadsheets, ensuring accurate reporting and clear communication of performance outcomes to the operations team.
- Maintain tracking of monthly meetings through spreadsheets, ensuring accurate records and providing clear updates to the operations team.
- Assist the Contract Administration team with the setup and closure of sites in Navision, Kronos, and Chris21.
- Support the team with updates and maintenance of Navision jobs and tasks to ensure accurate reconciliation with FMClean billing reports.
- Assist with the preparation and distribution of regular and ad hoc cleaning invoices, including monthly invoicing for agencies and TAFE via the Ariba portal.
- Respond to customer invoice queries in a timely and professional manner, ensuring issues are resolved efficiently.
Requirements
- Minimum 3 years of administrative experience.
- Previous customer service experience.
