About the Role

Our Casual Receptionists provide a friendly first welcome to The Place, handling enquiries and implementing health and safety procedures as necessary. They work closely with our Duty Managers and Classes & Courses Team to ensure a welcoming and efficient service for our visitors, participants, artists and students.

Responsibilities

  • Provide efficient service and a warm welcome to The Place.
  • Maintain an upbeat and friendly attitude, engaging in conversation with customers.
  • Ensure that you and the Reception areas are always presentable.
  • Oversee the Reception space and proactively complete regular and ad-hoc tasks.
  • Ensure that our visitors feel welcome to participate and engage with our programme.
  • Ensure, with the Building Duty Manager, our studio terms and conditions are followed.
  • Provide information to visitors on all aspects of our building.
  • Provide information about visitors, deliveries and collections.
  • Sell tickets using our ticketing system, Spektrix, swiftly and accurately.
  • Keep our patron’s personal information secure, complying with GDPR regulations.
  • Understand our alarm systems in order to silence, investigate, or activate procedures when they sound and support our maintenance team during tests.
  • Liaise with cleaning staff, Duty Managers and maintenance about any building or housekeeping issues that need attention.
  • Sign in and out all visitors to the building.
  • Log the use of keys and AV equipment and any lost property items.
  • Process all incoming and outgoing post and deliveries.
  • Arrange taxis via our taxi account provider, logging passengers, destinations and account codes.
  • Act as central first aid contact point ensuring accident and incident logs are completed.
  • Issue staff, visitor, student and contractor passes.
  • Take responsibility for the reconciliation of all money at Reception.
  • Be responsible for cash handling and PDQ operations.
  • Investigate and resolve any inconsistencies or errors in the daily banking.
  • Monitor the security of our cash floats, cash and card payment details.

Requirements

  • Experience of working within a customer-focused environment.
  • Experience of using Point of Sale (POS) systems, ticketing software and/or space booking software.
  • Experience of working in an administrative capacity to an excellent standard.
  • Ability to work under pressure.
  • Ability to work as part of a team.
  • Friendly and approachable individual.
  • Knowledge and enthusiasm for the arts.
  • Understanding of Health and Safety.
  • Valid First Aid Qualification.
  • Valid Personal License.
  • Experience managing large-scale events.
  • Experience of reconciliation.
  • Experience of leading teams.
  • Ability to troubleshoot or problem solve in a customer-focused environment.
  • Enthusiasm for contemporary dance.

Skills

  • Cash handling and competence with mental arithmetic.
  • Ability to use Spektrix, and/or Artifax systems.
  • Confident using Microsoft Office 365.
