About the Role
We are building the operational spine of the firm to improve delivery quality and enable growth. This role owns process, systems, data, and candidate experience end-to-end, transforming a founder-led practice into a repeatable, high-quality engine. You will work directly with the founder and senior team with real ownership from the start.
Responsibilities
- Run the operational backbone of every retained search, including co-developing search strategy, collating materials, structuring the pipeline, and managing research and outreach.
- Keep each search on track against milestones from brief to onboarding.
- Own and continuously improve the tooling stack, designing workflows, templates, and trackers.
- Build the playbook to make quality repeatable.
- Produce and quality-control client-facing artifacts such as strategy overviews, marketing materials, and candidate write-ups.
- Manage extensive candidate correspondence, coordinate scheduling, deliver decisions, and manage feedback processes.
- Maintain pipeline metrics and search dashboards, run the firm's reporting rhythm, and translate search data into actionable insights.
- Own data protection, candidate data hygiene, vendor onboarding, and operational administration for a cross-border firm.
Requirements
- 4+ years in a role demanding exceptional structure and judgement (e.g., management consulting, strategy, chief-of-staff, operations, executive search, or in-house talent).
- Proven ability to build systems, processes, or operations functions.
- Exceptional organization and judgement with the ability to manage multiple priorities.
- Client-grade written communication skills.
- High agency, sense of urgency, and comfort with ambiguity.
- Discretion in handling sensitive and confidential information.
