About the Role

The Medical Secretary will provide high-quality secretarial and administrative support to consultants, handling tasks such as managing telephone calls, liaising with patients, scheduling appointments, and processing correspondence. The role requires effective and sensitive communication to ensure a world-class service and patient experience.

Responsibilities

  • Serve as an administrative point of contact and liaison between patients and consultants.
  • Support consultants and patients with queries related to the patient treatment pathway.
  • Collaborate with patient access and business office teams to guide patients for a seamless journey.
  • Manage and prioritize multiple assignments under the direction of the Medical Secretary Manager and Clinical Institute Leadership.
  • Manage and edit consultant schedules and diaries.
  • Coordinate patient appointments.
  • Respond to queries from patients, staff, and others.
  • Correspond with patients via telephone, e-mail, and letter.
  • Compose and prepare various correspondence, including medical reports, forms, and presentation materials.
  • Communicate effectively with other relevant hospital departments and professionals.
  • Arrange and schedule meetings as required.
  • Coordinate with theatre and endoscopy teams to plan case lists, ensuring appropriate anaesthetic cover.
  • Oversee the management of annual leave for anaesthesia staff, arranging cover and recording additional sessions for payroll.
  • Maintain effective and professional communication with anaesthetists, consultants, and relevant departments.
  • Manage and respond to queries from medical secretary and anaesthesia inboxes promptly, ensuring resolution and escalation.
  • Perform other assigned duties.

Requirements

  • Medical secretary experience, working in a private healthcare setting (essential).
  • Proficiency using Microsoft Office (essential).
  • Effective and sensitive communication with patients (essential).
  • Exceptional prioritization and organization skills (essential).

Skills

  • Experience of using Electronic Medical Records systems (desirable).
