About the Role
The Attendance Monitoring Officer supports student engagement, retention, and success by ensuring attendance monitoring processes are delivered accurately and in line with internal policies and regulatory requirements. This role acts as a primary point of contact for students regarding attendance concerns, providing professional, student-focused support while collaborating with academic and professional services teams.
Responsibilities
- Provide a responsive, professional, and student-focused service for attendance-related queries via in-person, email, and telephone channels.
- Act as a key point of contact for students with low, irregular, or concerning attendance.
- Manage attendance-related cases from initial contact through to resolution.
- Support early intervention processes by coordinating with academic and administrative teams.
- Notify students of attendance concerns and arrange necessary support or intervention meetings.
- Attend fitness to study, intervention, support, and reinstatement meetings.
- Monitor attendance data daily to identify trends and investigate discrepancies.
- Maintain accurate documentation and case records for audit and compliance purposes.
- Ensure processes align with internal policies and external regulatory requirements, including UKVI and OfS.
- Collaborate with Schools, Registry, Student Services, Visa Compliance, and IT teams.
- Signpost students to appropriate academic, wellbeing, or professional services.
- Support the improvement of attendance monitoring processes, service standards, and reporting.
- Assist with compliance audits and data requests.
- Provide guidance to staff on attendance procedures and system usage.
- Produce and maintain attendance reports for stakeholders.
- Handle sensitive student information confidentially in accordance with data protection requirements.
Requirements
- Experience in a student-facing, administrative, or compliance-focused role.
- Strong customer service skills with the ability to communicate clearly and professionally.
- Ability to manage multiple cases and priorities through to resolution.
- Strong attention to detail and high level of accuracy in record keeping.
- Ability to maintain confidentiality when handling sensitive information.
- Ability to build effective working relationships across departments.
- Organized, reliable, and capable of working independently to meet deadlines.
- Experience in an FE or HE environment (desirable).
- Experience with attendance monitoring, student engagement, or compliance processes (desirable).
- Awareness of UKVI and/or OfS requirements (desirable).
- Successful completion of pre-employment checks, including criminal records check, references, and Right to Work verification.
