About the Role
GPJ is seeking an Executive Event Producer to oversee the execution of timelines and budgets for complex live and digital event projects for a high-tech client. This role involves managing client relationships, overseeing project profitability, and guiding event teams.
Responsibilities
- Oversee efficient and effective execution of timelines and budgets across all workstreams for large and complex projects.
- Manage entire projects or a portfolio of projects throughout the year.
- Collaborate with teams to develop flawless concepts.
- Monitor project profitability while ensuring client satisfaction.
- Manage client relationships, acting as a strategic partner and advocate at senior levels.
- Provide regular updates to the Account Lead and proactively address potential issues.
- Provide input on event staffing and resourcing in coordination with Department Managers and IP leaders.
- Handle strategic relationships with larger vendors, including RFP processes and issue resolution.
- Ensure meticulous completion of closing and reconciliation processes for entire events.
- Identify potential risks and opportunities for improvement during closing and reconciliation.
- Guide and mentor larger event teams.
- Contribute to the education and development of project teams as a subject matter expert.
- May have direct reports.
- Contribute to selling, planning, and developing work.
- Lead and inspire a high-performing team.
- Engage and build trusted relationships with mid to senior-level client executives.
- May mentor or teach others on the Event team.
- Have overall ownership and management of master timelines/schedules.
Requirements
- Advanced awareness of GPJ and Project agency offerings.
- Experience with highly complex, high-profile projects and events.
- Experience managing or supporting events with budgets of $2m+.
- Experience leading events with 2500+ attendees.
- Some global experience is desired.
- Experience working with Fortune 500 brands desired.
- Ability to build, manage, and reconcile event budgets.
- Ability to understand and manage key financial metrics.
- Ability to identify and address impacts of changes on project budget and financial metrics.
- Ability to proactively identify and elevate potential budget/financial issues.
- Ability to understand and oversee key PO, reconciliation, and invoicing processes.
- Ability to negotiate and identify SCORE; oversee and drive event team SCORE results.
- Ability to understand on-site methodology, practices, requirements, and venue rules.
- Expert knowledge of end-to-end GPJ Event Production and project processes.
- Strong proficiency in Google and Microsoft Office software.
- Previous experience with ERP, Project Management software, or similar tool is preferred.
- Develop, maintain, and strengthen partnerships with others inside and outside the client organization.
- Identify new stakeholders, manage client expectations, define new business opportunities, and deliver against clients’ needs.
- Demonstrate accountability and hold self and others to a high standard of work.

- 12-15+ years of relevant experience in event production, live production, integrated production, account management, project management or similar.
- Experience and confidence engaging and building respected, trusted peer-to-peer relationships with mid to senior level client side executives.
