About the Role
We are seeking a talented Event Production Manager to join our Planning team. This role serves as the liaison between clients and on-site teams, responsible for bringing physical, hybrid, and virtual meetings to life. Responsibilities
- Act as the primary point of contact for clients during the planning process.
- Liaise with on-site event, technology, and control room teams for seamless event execution.
- Ensure client visions are executed and clients are fully supported from kick-off to post-event.
- Manage event timelines and communicate pre-production deadlines.
- Schedule and host client kick-off calls.
- Serve as the primary client contact leading up to the event day.
- Prepare and distribute room diagrams.
- Collaborate with culinary and service teams to finalize menus and timing.
- Partner with AV Production to plan the client's run of show for studio events.
- Host client Run of Show Reviews with AV Production and Event Operations Managers.
- Oversee the execution of tasks by the Event Operations Team.
- Assign and manage event tasks in project management tools, ensuring timely completion.
- Create and maintain detailed event documentation.
- Create PEOs, program diagrams, and invoices.
- Support the Event Site Production team with livestream event platform details.
- Manage client expectations on available features and inform future platform enhancements.
- Conduct pre-event and post-event debriefs for internal stakeholders.
- Follow up with clients on post-event deliverables.
- Conduct weekly event meetings and regular PEO meetings.
- Provide status updates to stakeholders on pre-production milestones.
- Supervise the calculation of program checks and ensure client approval.
- Ensure the collection of all program balances.
Requirements
- 3+ years in a customer-facing role.
- Prior experience in event planning and project management.
- Comfort using web-based collaboration tools (Slack, Salesforce, SmartSheets, Google Suite).
- Familiarity with SaaS, event platform/video/web conferencing is a plus.
- Strong business acumen.
- Ability to remain calm under pressure.
- Natural problem-solving skills.
- Ability to multitask.
- Must be based in the UK with full right to work without sponsorship.
