About the Role

This role is responsible for ensuring the smooth operation of the Human Resources department by providing comprehensive support in recruitment, onboarding, compliance, and system management. The HR Coordinator will manage day-to-day HR activities, including the HR inbox, contract preparation, recruitment support, and maintaining employee records, serving as a key contact for internal stakeholders and candidates.

Responsibilities

  • Manage and update employee information within Workday, ensuring data accuracy and integrity.
  • Provide first-level support for Workday system issues and manage system tickets.
  • Input and update data including new hires, internal changes, and terminations.
  • Assist in employee training and support for Workday system usage.
  • Generate reports from Workday.
  • Administer the reference check process, ensuring timely requests and follow-ups.
  • Administer the background check process, ensuring timely requests and follow-ups.
  • Escalate any discrepancies in background checks with the HR Business Partner.
  • Provide first-line support for hiring manager queries and act as a point of contact.
  • Ensure all recruitment activities adhere to internal and external policies.
  • Manage the administration of recruitment tasks and processes.
  • Educate the wider business on the recruitment process.
  • Regularly review and suggest improvements for recruitment activities.
  • Maintain accurate records and ensure proper storage of documentation.
  • Coordinate the annual training calendar.
  • Provide first-line support to employees and leaders on learning and development activities.
  • Triage, respond to, and prioritize HR inquiries within agreed service levels.
  • Address common HR inquiries related to the employee lifecycle and engagement.
  • Organize all communications for easy retrieval and reference.
  • Escalate relevant matters to the HR Business Partner.
  • Prepare and issue employment contracts.
  • Prepare employment contract amendments/variation letters.
  • Track employment contract expirations.
  • Prepare, issue, and track secondment agreements and higher duties allowances.
  • Maintain accurate records and ensure contract documentation is compliant and correctly stored.
  • Maintain compliance records and ensure employee records are up-to-date and accurate.
  • Manage working rights for all employees.
  • Host exit surveys when appropriate.
  • Assist in preparing documentation and data for internal and external audits.
  • Assist in monitoring compliance with company policies.
  • Provide support to peers and other teams as required.
  • Take ownership of personal performance and development.
  • Actively contribute to the team with a positive attitude.
  • Participate in team meetings and knowledge sharing.
  • Work closely with the HR Business Partner to provide support and ensure smooth HR operations.
  • Work effectively in a team environment to achieve common goals.
  • Work closely with other departments to resolve customer issues and inquiries.
  • Complete all mandatory training.
  • Ensure all activities reflect the Group’s core values.
  • Complete ad hoc duties as advised by the HR Business Partner.

  • Experience in HR system management, specifically Workday.
  • Experience administering reference and background checks.
  • Experience supporting recruitment processes.
  • Experience coordinating training calendars and providing L&D support.
  • Experience managing HR inquiries and communications.
  • Experience preparing and issuing employment contracts and related documentation.
  • Experience maintaining compliance records and employee documentation.
  • Experience managing working rights for employees.
  • Experience assisting with audits.
  • Experience monitoring compliance with company policies.
