Responsibilities
- Manage delivery of workplace operations scope across JLL’s CRE Portfolio in Japan.
- Provide and manage comprehensive and consistent services across the country, focusing on continuous improvement, operational excellence, safety, and compliance.
- Create a collaborative and impactful Stakeholder engagement strategy.
- Build a community of ambassadors and workplace support teams to deliver timely and consistent workplace experience & workplace operations.
- Develop client support and feedback initiatives.
- Lead structured regular meetings with stakeholders to enhance relationships.
- Develop collaborative relationships across CRE and senior stakeholders.
- Provide support and drive initiatives and services within the CRE governance model.
- Lead workplace teams across all offices in Japan.
- Mentor and enable training & development of team members.
- Ensure succession planning and mobility for all critical roles.
- Nurture an environment conducive to good teamwork and co-operation.
- Promote initiative/idea-sharing across the team and create opportunities for wider collaboration.
- Establish/strengthen credible relationships with Stakeholder leadership.
- Respond to Stakeholder requests and concerns proactively and constructively.
- Set up documented, regular connects with Stakeholder leadership at area sites.
- Ensure local/area contracts are carried out in line with terms and conditions and with excellence.
- Monitor vendor performance by working closely with the regional sourcing team.
- Work with regional and global purchasing to implement regional/global sourcing strategies.
- Drive glidepath savings through regular review of contract terms and conditions, application of Six Sigma best practices, and other cost reduction initiatives.
- Ensure vendors adhere to JLL’s Code of Business Ethics.
- Deliver services as defined in the relevant Schedules of the Master Service Agreement, ensuring implementation and compliance.
- Ensure adherence to key performance measurements and achieve specified targets.
- Inform CRE management immediately of any key performance incidents at sites.
- Support the Head of Operations in performing follow-up actions and communications.
- Ensure completion of all required audits and checks and close findings in a timely manner.
- Ensure area sites meet all JLL, legal and statutory EHS requirements and regulations.
- Ensure all JLL staff are working in compliance with EHS regulations.
- Ensure sites meet all financial targets and control requirements.
- Provide standard monthly/quarterly/annual reporting and management reports.
- Drive glidepath savings to meet savings targets; cooperate with regional counterparts on savings.
- Deliver CRE’s regional human experience program at all sites.
- Contribute ideas to the CRE’s human experience regional program.
- Help raise awareness of human experience and new ways of working at all sites.
- Ensure human experience is incorporated into the delivery of all service lines.
- Perform any other tasks consistent with the role of National Workplace Manager.
Requirements
- Five to eight (5-8) years of work experience, with at least five (5) years related to all aspects of workplace (FM) delivery at account level.
- Excellent time management and communication skills in both Japanese & English.
- Ability to build productive business relationships.
- Ability to manage multiple projects independently.
- Comprehension of M&E services to ensure services are managed.
- MS Office proficiency.
- Strong communications and customer focus skills with the ability to interface and relate to different stakeholders in the organization.
- Strong drive and persistence to achieve results.
- Creative thinking with an open mind that is balanced by a strong sense of realism and practicality.
