About the Role
The Senior Fleet Specialist will lead the End to End management of the Fleet (vehicle) category within Red Bull Japan's indirect procurement, serving as a trusted internal point of contact for all vehicle-related operations. This role oversees all associated management processes, including coordinating vehicle delivery and returns, managing vendor relationships, pool vehicle management, data maintenance, traffic violation processing, and invoice verification. Additionally, the specialist will drive the optimization of vehicle management processes, ensure cost-efficiency and compliance, promote safety measures, support budget planning, and lead budget monitoring and reporting.
Responsibilities
- End-to-end management of Red Bull Japan's company car fleet, including leased and company-owned vehicles nationwide.
- Serve as the central point of contact for employees, external service providers, and internal stakeholders, ensuring a framework that supports optimal fleet utilization, cost efficiency, legal compliance, and driver safety.
- Execute daily operations and support strategic initiatives such as Total Cost of Ownership optimization, sustainability (transition to EV/HEV), vehicle policy, process improvements, and continuous enhancement of the driver experience.
- Manage the full lifecycle of the assigned category, including supplier selection, planning (replacement, contract renewal, new order, budget, disposal), monitoring (supplier performance, utilization, budget), and administrative tasks (contracts, orders, invoice processing, reporting).
- Maintain accurate master data for the assigned category and update it in a timely manner.
- Streamline business processes and ensure smooth operations.
- Manage relationships with external service providers and key stakeholders.
- Lead regular governance with outsourced service management partners, conducting monthly review meetings and formalized reporting.
- Lead negotiation and contracting processes.
- Ensure all necessary registrations and records (both physical and digital) are managed and comply with local regulations and laws.
- Manage and oversee registration and record-keeping processes to ensure smooth completion.
- Provide accurate and comprehensive expenditure/user data for the assigned category.
- Support the annual CAPEX planning cycle and monitor monthly performance against OPEX budget, identifying variances and proposing corrective actions.
- Analyze data to negotiate with suppliers and propose business cases for cost optimization.
- Lead internal and external communications, including new hire onboarding, audits, and training.
- Accurately and timely execute required reports, including those requested by government, regulatory bodies, auditors, or internal stakeholders.
- Support the global procurement team, global sustainability team, and local finance team at headquarters.
Requirements
- 3-5 years of practical experience in fleet management, vehicle operations, or a related field.
- Knowledge of Japanese traffic laws and safety regulations.
- Practical experience in vendor management and contract negotiation.
- Strong communication skills and customer orientation.
- Excellent management skills with the ability to handle multiple tasks simultaneously.
- Native Japanese proficiency.
- Basic English proficiency.
- Experience with Microsoft Office.
- Experience with telematics platforms (preferred).
- Experience with process automation tools (e.g., Power Automate, RPA) (preferred).
- Experience with analytics tools (e.g., Power BI, SAC) (preferred).
