About the Role
Lab Alley is seeking a detail-oriented, driven, and enthusiastic Documentation Specialist to join our growing Chemistry & Quality team. This is an exceptional entry-level/new grad position designed for an individual looking to launch their career in quality assurance, regulatory compliance, and chemical data management. In this role, you will be the gatekeeper of our product integrity and compliance, gaining hands-on experience managing critical technical documentation.
Responsibilities
- Assist the Quality Assurance department with the maintenance, organization, and modification of the company's document control system.
- Ensure all standard operating procedures (SOPs), validation reports (IOPQs, PVs) and training records are accurate and easily accessible.
- Draft product information documents for upload to our company website under specific guidance.
- Review company website's product manuals for completion and accuracy.
- Coordinate with the Quality Assurance Lead on maintaining Lab Alley's certification(s) compliance by tracking supplier and product certifications, updating internal traceability documentation, and maintaining accurate certification records.
- Work closely with the Quality Assurance Lead and Operations department to draft/update internal SOPs, launch continuous improvement projects, and develop new tracking metrics.
- Support in preparation of internal or external audits with scheduling, documentation and participation.
- Support Chemistry and Quality department on special projects related to instrument validations, laboratory operations, drafting safety data sheets and other documents.
Requirements
- Exceptional attention to detail with a proven ability to spot errors or inconsistencies in data-heavy documents.
- Proficient in Microsoft Office Suite (Word, Excel, SharePoint) and a quick learner when adapting to proprietary database software or ERP systems.
- Strong written and verbal communication skills, with the ability to translate complex technical information into clear, organized documentation.
- Excellent organizational and multitasking skills, with the ability to prioritize tasks in a fast-paced environment to meet deadlines.
- A proactive, collaborative attitude with a strong desire to learn QA methodologies, regulatory frameworks, and the inner workings of the chemical distribution industry.
