About the Role
The Benefits Specialist administers and supports employee benefits programs, leave of absence processes, and Total Rewards activities. This role guides employees and HR partners on benefit plans, resolves inquiries, maintains data integrity, and supports compliance and reporting.
Responsibilities
- Maintains advanced knowledge of company benefit plans, wellness initiatives, program offerings, and regulatory requirements, serving as a subject matter resource.
- Develops, documents, and improves procedures for efficient and compliant administration of employee benefits programs.
- Audits, processes, and updates employee benefit enrollments, changes, and terminations in carrier and benefits administration systems.
- Monitors HRIS and benefit administration systems (including UKG and carrier platforms) to ensure accurate updates, data integrity, and timely resolution of discrepancies.
- Maintains effective working relationships with third-party benefit administrators, carriers, and external partners.
- Assists in coordinating, facilitating, and communicating benefit open enrollment and employee education meetings.
- Administers and coordinates leave of absence programs, including employee communication, documentation tracking, vendor coordination, and support for FMLA, ADA, and disability.
- Stays current on federal and state laws, regulations, and legislative changes affecting employee benefits and leave administration.
- Responds to employee benefit inquiries, providing clear guidance on plans, coverage, and costs.
- Communicates enrollment deadlines, required actions, and benefit timelines to employees.
- Prepares benefits communication and educational materials to support employee understanding and program participation.
- Provides limited support for Total Rewards reporting and data administration, including standard reporting, data validation, and maintenance of job-related information.
- Serves as backup support for Workers’ Compensation administration, including claims coordination, OSHA reporting follow-up, and return-to-work or accommodation documentation.
- Travels occasionally, as needed, to support benefits administration or employee meetings.
Requirements
- Bachelor’s degree and 5+ years of progressive experience in benefits administration, HR operations, or a related Total Rewards function, or an equivalent combination of education and experience.
- Bilingual in English and Spanish.
- Experience with UKG preferred; strong proficiency in HRIS platforms, benefits administration systems, reporting tools, and Microsoft Excel required.
- Demonstrated ability to handle sensitive employee information with a high degree of confidentiality and attention to detail.
- Excellent written communication, planning, interpersonal, time management, analytical, problem-solving, and organizational skills.
- Demonstrated ability to interpret and explain benefit plan provisions, processes, and procedures to employees with a high level of subject matter knowledge.
- Strong working knowledge of leave of absence administration, including FMLA, ADA, disability, and related leave processes, preferred.
- Working knowledge of Workers’ Compensation processes, claims coordination, OSHA reporting requirements, and return-to-work accommodations preferred.
- Demonstrated flexibility and adaptability in managing changing priorities and tight deadlines.
- Exposure to compensation or broader Total Rewards reporting is preferred, including support for job data maintenance and standard reporting.
- Ability to travel occasionally, as needed.
