About the Role

Under the supervision of the Director of Member Events and Training, the Training and Events Coordinator is responsible for day-to-day logistical and planning support for the CACTX training program and CACTX meetings and events.

Responsibilities

  • Supports in-person trainings, including registration, pre-event communication, day-of event support, post-event communication, evaluation collection, space setup, catering, basic technology support, and material preparation.
  • Supports virtual trainings and peer reviews, including registration, pre-event communication, day-of event support, post-event communication, and evaluation collection.
  • Maintains working knowledge of the learning management platform to support training creation, registration, and act as a technical coordinator for virtual trainings.
  • Maintains working knowledge of the project management platform, including building and updating projects and tasks related to trainings and events.
  • Processes post-training documents and materials including sign-in sheets, reports, evaluations, and training certificates.
  • Maintains timely communications and fosters positive relationships with CACTX training faculty, contractors, and participants.
  • Provides support for training data collection.
  • Provides support for training invoice processing.
  • Provides coordination for CACTX meetings and events, including space setup, catering, supply ordering, basic technology support, material preparation, and facility support.
  • Provides coordination support for CACTX member events, including procurement, event registration setup, communication, day-of event coverage, and follow-up evaluation and communication.
  • Supports off-site and regional training offering logistics and communications.

Requirements

  • Strong written and verbal communication, administrative, and organizational skills.

  • Ability to identify inefficient processes and proactively improve them.
  • 1–3 years of administrative, event coordination, training support, or nonprofit operations experience.
  • Strong proficiency in Microsoft Office (Outlook, Word, Excel, Teams, SharePoint, and Power Point), Adobe, Zoom, and standard office equipment.
  • Experience with meeting and event support.
  • Strong attention to detail.
  • Excellent customer service and interpersonal skills.
  • Excellent written and oral communication skills.
  • Ability to adapt and manage multiple projects simultaneously, work independently, prioritize responsibilities, and identify and resolve conflicts in a timely and appropriate manner.
  • Candidates must reside in the Austin, Texas area.
  • Candidates must have reliable transportation.
  • Ability to travel to CACTX’s Austin office as required.
