About the Role

The Design Coordinator ensures event designs are accurate, complete, and prepared for execution. This role bridges the gap between design vision and production reality by managing proposal refinement, coordination, and quality control for 20–40 active events per month.

Responsibilities

• Serve as the final quality control checkpoint for all proposals to ensure accuracy and readiness for execution.
• Identify and resolve missing elements, inconsistencies, or risks prior to production handoff.
• Align proposal elements with inventory, place product and subrental orders, and coordinate requirements with creative teams.
• Communicate directly with clients to manage updates across proposals, design boards, and supporting materials.
• Build and manage proposals for simple rental orders and smaller events according to company standards.
• Develop a deep understanding of inventory, capabilities, installation methods, and production constraints.
• Coordinate subrentals and external orders for event execution.
• Track, organize, and report on active projects, including weekly and quarterly data needs.
• Support the Lead Event Designer and design team with administrative, scheduling, and business development tasks.
• Provide input on inventory development, purchasing, and creative builds.
• Represent the company at industry and networking events.

Requirements

• 2+ years of experience in design-driven environments or design-related coordination.
• Proficiency in Microsoft Office.
• Comfort working with project management and CRM software.
• Ability to work independently while managing multiple projects and timelines.
• Excellent written and verbal communication skills.
• Understanding of the event production process and design-to-execution translation.
• Ability to interact with clients professionally and confidently.
• Valid driver’s license and reliable transportation.
