About the Role
As the connector of the dots, you’ll partner with our Event Production Managers to see every event through from concept to 'wow.' You are hospitality through and through—meaning you care just as much about the behind-the-scenes execution as you do about the first hello.
Responsibilities
- Supports many aspects of the meetings and offerings at a dedicated location in accordance with Convene’s vision, mission, and values.
- Effectively communicates via verbal and written correspondence with all levels of employees and clients, exhibiting GRIT in all interactions.
- Works dynamically and prioritizes departmental functions to meet deadlines.
- Approaches all encounters with guests and employees in an attentive, friendly, courteous, and service-oriented manner.
- Enters and inputs visitors.
- Handles problem-solving/requests at the desk.
- Liaises with the Operations Team along with WP-Members; assists with Robin (Room Booking) reservations, catering orders, building requests (badges, tickets, work orders), sorting/delivering mail & packages, and onboarding new WP-Members.
- Leads show rounds when applicable.
- Assists with service execution; set-up and breakdown, and support during peak periods.
- Assists with the coordination for the setup and execution of all functions with the Service, Production, Technology, Customer Success, and Culinary departments.
- Keeps the Welcome Desk clean/organized; responsible for badge printing and stocking of materials.
- Keeps the coat room clean/organized.
- Orchestrates and sets up Surprise & Delights for WP-Members and/or Site Tours.
- Orders office supplies.
- Checks-in guests with proxy, click and shows the reception/nourish area.
- Escorts meetings and guests when needed.
- Manages lost and found.
- Handles building requests for cleaning.
- Assists the Conference & Events Manager and Chef with scheduling and administrative responsibilities.
- Creates and maintains positive relationships with building management and landlord partners.
- Develops and maintains positive client relationships.
- Ensures Standard Operating Procedures and Brand Standards are being adhered to and supports any updates accordingly when applicable.
Requirements
- Must currently reside in the UK.
- Must be able to work in the UK without sponsorship.
- Ability to work effectively with clients.
- Flexible and long hours are sometimes required.
- Ability to move, lift, carry, push, pull, and place objects up to 25 pounds without assistance.
- Ability to reach overhead and below the knees, including bending, twisting, pulling, and stooping.
- Ability to stand, sit, or walk for an extended period of time.
- Basic knowledge of Audio/Visual equipment set up and usage.
